We are a friendly, 3-site dispensing Practice in Buckinghamshire with surgeries in Wing, Whitchurch, and Winslow. The Practice has 6 GP Partners, together with salaried GPs and ANPs. They are supported by a full complement of Nurses, HCAs, a clinical pharmacist and provide care for 20,000 patients. We are a proactive and forward-thinking Practice dedicated to providing quality patient care. In total we are a team of more than 100 staff and we consider it important to maintain a supportive team ethos. We have a CQC rating of 'good' across all metrics, thanks to outstanding administrative support.

Hours of Work

08:00 - 13:00 and/or 14:00 - 18:00 (approx 35 hours per week)

Job summary:

To assist in the smooth running of the day-to-day activities of the 3W practice by handling various administrative duties. ensuring that patients receive the best possible healthcare and support. To provide general secretarial support to doctors and health professionals.

Main tasks:

* Prepare and submit referrals via e-Referral Service (e-RS) or other agreed pathways.
* Handling of legal documents, medico legal reports, statements of health, invoices etc. in accordance with NHS pathways
* Act as a point of contact for GPs regarding administrative queries
* Ensure letters to patients, as directed by the clinicians within the Practice are dealt with in a timely manner and to appropriate standard
* Ensure effective communication of Practice policies and guidelines by attending and participating in Practice meetings constructively as required
* Communicate professionally with patients, clinical teams, and external organisations.
* Support patients with queries relating to referrals and secondary care.
* Dealing with emails outgoing and incoming daily – actioning accordingly.
* Needs to be able to prioritise workload within a timely manner.
* Support practice audits and quality improvement initiatives.

Person Specification

The successful candidate will be caring, dedicated, reliable and person-focused and enjoy working with a wide range of people. They will have good written and verbal communication skills and strong organisational and time management skills. They will be highly motivated and proactive with a flexible attitude, keen to work and learn as part of a team and committed to providing people, their families and carers with high quality support

Essential:

* A minimum of 1-year secretarial experience, preferably in a GP practice or healthcare setting.
* Excellent communication skills and proficient in written and spoken English
* Professional manner and able to build relationships quickly at all levels
* Excellent customer service skills and with a courteous and friendly demeanor
* Proficient typing skills with a knowledge of audio typing
* Excellent IT skills and solid knowledge of Microsoft Office
* Excellent telephone handling skills incoming and outgoing.

Desirable:

* Experience in using EMIS Web software
* Experience in using e-RS
* Experience in using DOCMAN
* Understanding of medical terminology
