If you strive to do what you say, we'll have a lot in common The Document Controller will manage the programme's governance document repositories, ensuring strict compliance with naming conventions, metadata rules and version control. This role ensures that all governance deliverables are audit-ready, accessible and traceable to support Stage Gate reviews and ongoing PMO operations. The role also contributes to strengthening information-management practices across the programme and is expected to have awareness of ISO 19650 principles. Here are some of the activities you will get involved with 1.Document Governance Manage PMO SharePoint document libraries and ensure compliance with metadata standards, naming conventions and folder structures. Maintain the lifecycle of controlled documents: Draft → Review → Approved → Published → Archived. Ensure all controlled documents have accurate version numbers, revision histories and approval records. Maintain document registers, ownership logs and audit trails for governance and assurance purposes. Apply document-control practices consistent with ISO 9001 and aligned with ISO 19650 principles, particularly in classification, version control and traceability Maintain readiness for future integration with Common Data Environments (CDEs) such as Autodesk Construction Cloud (ACC). 2.Support to Governance Process Support Stage Gate processes by ensuring all controlled documents are properly versioned, tagged and traceable in line with PMO standards. Work with the PMO Documentation & Process Analyst to align governance libraries with current management plans, processes and templates. Provide document control support to functional teams (commercial and delivery) to organise documentation within the approved SharePoint folder structure. Alert the PMO Manager to non-compliant or outdated documentation requiring review or re-approval. 3. Collaboration & Training Collaborate with the PMO Manager and Data Engineer to ensure metadata and document structures align with PMO reporting requirements. Support and train PMO and project staff on document-control procedures, metadata tagging and use of SharePoint libraries. Provide guidance to commercial and delivery teams on file naming, classification and storage practices. 4. Continuous Improvement Contribute to improving PMO document-control processes, naming conventions and metadata schemes as maturity increases. Support the adoption of ISO 19650-aligned practices as the organisation transitions towards Autodesk Construction Cloud (ACC) and broader CDE workflows. Identify opportunities to simplify workflows and enhance traceability and user experience. We'd love to hear from you if you can demonstrate Relevant qualification or equivalent experience in document control, information management, quality systems or records management. Minimum 3 years' experience in document control, ideally within infrastructure, engineering or construction projects. Proven experience managing large volumes of documents across multiple stakeholders and systems. Experience maintaining document registers, approvals and metadata compliance. Proficiency in SharePoint Online document management (libraries, views, permissions, metadata). Understanding of structured folder hierarchies and information container concepts. Strong understanding of document lifecycle control and versioning. Attention to detail and accuracy in file naming and organisation. Ability to manage competing priorities and meet deadlines. High attention to detail and commitment to compliance Strong organisational and time-management skills Collaborative and supportive team player. Good communicator with ability to train and support colleagues. Adaptable to changing processes and tools as maturity increases.
