A Snapshot of Your Day
As a Senior Secretary within our Assembly, Test & Overhaul (ATO) department, you will provide high-level administrative support to functional leadership, enabling the smooth running of day-to-day operations within a fast-paced manufacturing environment.
You will act as a trusted partner to senior managers and their teams, managing complex schedules, coordinating global travel, and supporting key communications and documentation. With a proactive and organised approach, you will play a key role in ensuring operational efficiency while maintaining a high level of professionalism, discretion, and attention to detail.
How You’ll Make an Impact
1. Provide comprehensive administrative support to senior managers, including complex diary management, long-term planning, and email coordination.
2. Coordinate and manage global travel arrangements, including flights, accommodation, visas, and detailed itineraries, ensuring compliance with company policies.
3. Act as a key point of contact for internal and external stakeholders, coordinating high-level meetings, visits, and events.
4. Produce and maintain high-quality documents, presentations, and reports using Microsoft Office tools.
5. Manage document control processes, ensuring accuracy, organisation, and accessibility of records.
6. Process and manage expenses in a timely and accurate manner using company systems.
7. Support departmental communications using internal platforms and digital tools
8. Manage procurement of office supplies and support operational needs using company systems such as Ariba.
9. Identify and implement improvements to administrative processes, systems, and tools to enhance efficiency.
10. Provide support across the wider administrative team, including onboarding and training of new colleagues.
What You Bring
11. Proven experience in a senior administrative or executive assistant role, ideally within a dynamic or manufacturing environment.
12. Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
13. strong experience managing complex diaries, global travel coordination, and stakeholder engagement at senior levels
14. Excellent organisational skills with the ability to manage multiple priorities and work to tight deadlines
15. High attention to detail, particularly in document preparation, proofreading, and data management.
16. Strong communication skills, with the ability to confidently and diplomatically interact at all levels.
17. Proactive, resilient, and resourceful approach with strong problem-solving capability.
18. Ability to handle confidential information with discretion and professionalism.
19. Experience with procurement systems ( Ariba) and expense management tools is advantageous.
20. Minimum of 4 GCSEs (or equivalent), including English and Maths.
