The Fiennes Centre, Banbury is looking for a part time receptionist/administrator who can prioritise workload and has plenty of initiative. The Fiennes Centre is an outpatients based in North Oxfordshire in Banbury. There are a range of clinical services based in the building, including podiatry, Out of Hours, Urgent Care, Mental Health Services and more services to join. The receptionist/administrator will be supporting these services and operations related to the building.
This is a part time role working 25 hours per week.
Interviews will be held at The Fiennes Centre, Banbury, OX16 9BF.
Main duties of the job
To provide professional, effective and efficient reception and administrative support to all staff working within the department using agreed processes and procedures to ensure the service standards are achieved. To be the first point of contact for patients and referring partners within The Fiennes Centre, managing appointments and queries, assisting where necessary and ensuring the priorities of the team are delivered effectively.

Job responsibilities
* Present a welcoming and inviting first point of contact for the service, providing a prompt response to queries, managing phone calls, or referral within team guidelines.
* Perform general office duties: respond to emails and phone enquiries, answer the telephone, take and record messages accurately, file, photocopy, scan, follow Trust procedures and protocols.
* Manage booking instructions from clinicians, ensuring appointments are booked in line with service priorities.
* Manage incoming mail (electronic and post), date stamp and handle in line with service guidelines.

Qualifications
* Good standard of general education to include 5 GCSE (or equivalent) including English and Maths
* Evidence of completing Microsoft Office training
Knowledge
* Experience of using Microsoft Office, particularly Word, Basic Excel and Outlook
* Experience of communicating effectively at all levels with a variety of contacts
* Ability to cope with frequent interruptions
* Experience of using multi-functional devices e.g. scanning, faxing etc.
