Due to continued growth, we seek a Senior Administrator to be responsible for overseeing the daily administrative operations of the office to ensure efficiency, productivity, and a positive work environment. This role manages office procedures, supports staff, coordinates administrative activities, and ensures smooth business operations within a professional and welcoming office environment,
As well as providing support for the smooth day to day running of the business across office administration, service/sales support, finance and HR, you will act as a central point of contact for staff and be responsible for running the administration of the maintenance department.
This position is Ideal for someone who enjoys a varied role and being at the heart of an SME. You will be highly driven, embracing of change and will demonstrate high levels of initiative and a can-do attitude.
Duties
* Day to day running of the office, to include handling correspondence, phone calls, and emails, coordinating meetings, appointments and office events, ordering office supplies, equipment and services when needed, and managing daily administration & procedures
* Running the administration of the maintenance department including production of maintenance contracts, liaising with the service manager for booking in engineers visits, allocation of costs of contract and identifying when maintenance visits are due
* Support hiring, onboarding, employee records management, monitoring and the booking of training for employees. You will also manage the relationship with external HR consultants, ensuring all HR policies and procedures meet statutory and legal requirements.
* Oversee and maintain health & safety documentation required for company accreditations, renewing of accreditations and completion of PQQ's
* Monitoring and organisation of maintenance for company vans.
* Provide basic holiday cover to service manager and senior accounts assistant
* Assist with expense tracking, and basic bookkeeping
Skills
* Working as an Office Manager, Administrative Manager, working as an administrator of maintenance or similar
* Writing policy and procedure documents and reports
* HR management and delivery, managing a staff team enabling people to achieve their potential, providing support and advice to managers and staff on a range of personnel issues
* Health and safety in a workplace environment, including undertaking risk assessments
* Using Word, Excel, PowerPoint and Outlook to a high standard
Requirements
* Previous similar office administration experience
* Strong organizational and communication skills, multitasking, working independently, and maintaining confidentiality
* Excellent knowledge of Microsoft Office (Word, Excel, Outlook)
* Excellent written and verbal communication skills
