An exciting opportunity has arisen for a secondment Band 4 Project Support Officer to support the Head of Digital Programmes and team with the successful delivery of digital projects. The post holder will work with the team in the development of future modules of TrakCare, the Trust’s EPR solution and associated projects.
Responsibilities
* Provide an efficient, effective, comprehensive and timely administrative service to the programme team and other associated senior staff, using appropriate technologies and equipment.
* Update and create project documentation in line with PRINCE2 methodologies using Smartsheet, ensuring high-quality outputs.
* Communicate confidently with stakeholders, management and staff using various methods; work with all stakeholders to ensure the efficient and effective use of the new system and adherence to new/improved processes.
* Train staff on new technologies; understand current working practices and convert them into process maps; develop training materials and deliver training to users where applicable.
* Prioritise and self-manage workload and elements of individual projects; manage work to deliver tasks within the project plan to timescales.
* Work across Trust sites as required (North Tees & Hartlepool NHS Foundation Trust now forming University Hospitals Tees).
* Provide a high quality, professional administrative service, remain calm and organised, ensuring deliverables on the project are met within deadlines.
* Promote standardised processes as part of a large transformational change project and support service delivery without compromising quality.
* Be the first point of contact for users, remaining calm and professional, and handle enquiries in line with Trust policies and procedures.
* Create and maintain action logs to track identified actions to completion; plan and manage work to deliver tasks within the project plan; evaluate and develop own practice.
* Use diary management tools to organise and schedule meetings, interviews, and other commitments for the Programme Management Team.
* Participate in procurement and implementation activities, including handling commercially sensitive information with discretion.
* Foster a healthy, safe and secure working environment for the work team.
Qualifications / Skills
* Secondment Band 4 Project Support Officer role; experience with PRINCE2 methodologies and Smartsheet is desirable.
* Attention to detail and ability to produce high-standard documentation.
* Strong communication skills, with ability to interact with stakeholders, management and staff.
* Experience in developing training materials and delivering training to users is desirable.
* Ability to plan, prioritise and manage own workload; strong organisational and time-management skills.
* Ability to work with external suppliers and handle confidential information appropriately.
