Deighton Lodge is a charming, converted farmhouse wedding venue & hotel located just 4 miles from York city centre, set amidst 3 acres of stunning rural countryside. Role Description
This is a key role within a small team and is ideal for someone who thrives working independently, is highly organised, and is comfortable supporting multiple areas of the business. The role includes managing weddings from initial enquiry through to delivery, driving bookings through proactive marketing, and contributing to the coordination of accommodation and retreat bookings. Occasional weekend work will be required to support weddings, retreats, and events.
Key Responsibilities:
Venue & Operations Management
* Oversee the daily operation of the wedding venue, accommodation, and retreat activities
* Manage venue setup, supplier coordination, and on-the-day logistics for weddings and events
* Ensure health & safety, licensing, and compliance requirements are met
* Maintain high standards of venue presentation, guest experience, and cleanliness
Wedding & Client Management
* Act as the primary point of contact for wedding couples from enquiry to post-event follow-up
* Conduct venue tours and client consultations
* Prepare and manage contracts, schedules, and wedding timelines
* Coordinate with suppliers, staff, and contractors
* Oversee weddings and events on-site to ensure smooth delivery
Marketing & Sales
* Lead marketing initiatives to generate enquiries and bookings across weddings, accommodation, and retreats
* Manage social media, website content, and online listings
* Respond promptly to enquiries and convert leads into confirmed bookings
* Build and maintain relationships with wedding suppliers, retreat hosts, and local partners
Hotel & Retreat Coordination
* Support the management and coordination of accommodation bookings, guest communications, and check-in/check-out processes
* Liaise with retreat organisers and instructors to support planning and delivery
* Assist with scheduling, guest coordination, and on-site requirements for yoga retreats and special events
* Ensure guest satisfaction across all accommodation and retreat stays
Financial & Accounts Management
* Manage day-to-day financial administration for the business
* Prepare and manage budgets across weddings, accommodation, and retreat operations
* Track income and expenditure and reconcile expenses using Xero (Zero) accounting software
* Process invoices, monitor payments, and assist with financial reporting
* Work closely with the owner and external accountants/bookkeepers as required
Team & Business Support
* Support and coordinate a small team, contractors, and casual staff
* Step into different roles as needed, including administrative, operational, and event support
* Identify opportunities to improve efficiency, profitability, and guest experience
Skills & Experience:
* Proven experience in hospitality, events, weddings, or venue management
* Experience managing budgets and accounts. Experience of using Xero software ideal but not essential.
* Strong marketing and sales skills, ideally within weddings, hospitality, or retreats
* Excellent organisational and time-management skills
* Confident working independently with minimal supervision
* Strong communication and customer service skills
* Flexible approach, including occasional weekend work
