EA to Founder/CEO – Maternity Cover (9-12 months)

As Executive Assistant, you’ll provide direct support to the Founder/CEO, ensuring smooth operations, clear communication, and thoughtful coordination across the organisation. You’ll act as a trusted representative and first point of contact for internal and external partners, managing information flow, priorities, and logistics with care and discretion. This is both a strategic and hands-on role - supporting the Founder/CEO’s day-to-day rhythm while enabling the wider team to work effectively and with ease.

Due to an extensive travel schedule and privacy preference, this role operates predominantly with limited direct interaction. The ideal candidate will be comfortable providing high-level support with minimal face-to-face contact, demonstrating strong initiative and the ability to work autonomously while maintaining seamless communication through digital channels.

Salary: ~£60-70K

Based: 5 days a week from the new, purpose-built office

Core Hours: 09:00 – 18:00

Annual Leave: 25 days + Bank Holidays (pro rata)

Required

* 5+ years’ experience as an Executive Assistant supporting a C-level executive in a fast-paced environment
* An undergraduate degree
* Proven ability to prioritise, manage multiple projects, and adapt to changing needs
* Exceptional written communication and proofreading skills
* Experience in planning and coordinating events of varying scale
* Meticulous attention to detail and high standards of organisation
* A collaborative mindset and enthusiasm for working in a dynamic, purpose-led environment
* Exceptional emotional intelligence, and a hands-on, flexible approach to working style, with a ‘no job is too big or too small’ mentality
* Strong proficiency with Microsoft Office and Google Workspace
* An affinity for wellness
* Ideal, but not essential: Full UK driving licence and confident driving in London (a company vehicle is available for those aged 25+)

Job Spec/Key Responsibilities:

Executive and Administrative Support

* Manage complex diaries and meeting schedules, including preparation, logistics, and follow-up actions.
* Oversee inbox management — screening, prioritising, and responding on behalf of the Founder/CEO where appropriate.
* Coordinate travel, including complex itineraries, briefings, and logistical arrangements.
* Track and manage the Founder/CEO's priorities, ensuring timely completion of tasks and alignment with wider objectives.
* Prepare documents, presentations, and communications to a high professional standard.
* Maintain oversight of office administration, systems, and subscriptions (e.g. Addison Lee, Canva, Amazon Business).
* Ad hoc support for the Senior Leadership Team.

Communication and Liaison

* Serve as a key point of contact and representative for the Founder/CEO with internal and external stakeholders.
* Support organisational communication and ensure effective information flow across teams.
* Liaise with the operations team and senior leadership to coordinate cross-functional activities and priorities.
* Draft and proofread correspondence and documents with clarity, warmth, and accuracy.

Event and Project Coordination

* Plan and deliver internal and external events, such as practice days, guest speaker sessions, retreats, and parties.
* Coordinate logistics for visitors and guests, including travel, accommodation, and hospitality.
* Support ad hoc projects and initiatives, ensuring smooth execution and follow-through.

Property and Personal Support

* Provide cover for the Private PA during holidays/periods of absence.
* Support with occasional property management tasks and household logistics.
* Assist with personal errands and shopping as required.
* Maintain shared family and administrative documentation, including visa and travel records.
