Sureserve Compliance Central We are a national company offering market leading heating & hot water solutions from a network of regional offices across the East of England and the Midlands, strategically positioned to ensure comprehensive coverage and uncompromised access to our clients We are recruiting for a diligent, professional Fleet Administrator to join our busy team. This role necessitates a resilient and detail-focused person with excellent communication skills and the ability to multitask effectively. Purpose of the Role/Role Overview: As a member of the Fleet team, you will assist in the day-to-day work of the team, which will involve liaising with members of staff across the company, external organisations as required and members of the public. To assist the day-to-day operation of the fleet department To be responsible for supporting a range of Fleet projects and initiatives Responsible for dealing with all aspects of fleet within the business, including dealing with Drivers, Suppliers, Manufacturers, and Insurers. Responsible for ensuring the vehicles are maintained in line with the manufactures recommendations and are legal for use on the public roads. Responsible for maintaining the fleet management database & telematic software, ensuring all records are kept up to date. Aid in the production of internal reporting to assist management in monitoring and improving performance. Provide support and assistance for Directors, Management, Supervisors & Administration. Assists in the facilitation of team and supplier meetings. Creative thinking beyond the boundaries of existing industry practices. Key Areas of Responsibility Ensure compliance with all company standards, policies, and procedures. Input and maintain records within the Fleet Management System and other external systems. To create and maintain reports, spreadsheets and correspondence using a variety of computer packages including Word, Excel, Outlook, and PowerPoint. Production of internal reporting to assist management in monitoring and improving performance. Including Processing, filing, and distributing confidential reports and documents. Manage the Motor Insurance Database (MID), ensuring that all our vehicles (including temporary vehicles) are updated and removed from the database regularly. Manage vehicle incidents and complaints received, ensuring these are investigated, reported, and dealt with promptly, recovering any uninsured losses. Record and review all company vehicle drivers’ licences, including MOT & Insurance certificates for grey fleet drivers. Manage fleet renewals and returns, including organising the install / de-install of telematics, vehicle livery, racking, checking vehicle condition & documentation. Monitor vehicle condition, carry out regular checks on our fleet to ensure any damage is reported and repairs completed. Where appropriate issue damage charges to driver. Manage short term rental vehicle usage, ensuring the use of these vehicles is kept to a minimum. Review fleet invoices, prior to approval for payment Attendance to internal or external company, supplier meetings / events. Provide support for new and ongoing projects. Interact with employees at different levels of the organisation. Always uphold confidentiality. Carryout any photocopying, scanning, or filing as required. Handle and distribute mail to the Fleet team. To undertake any duties commensurate with the post. Working hours are: 5 days per week (Mon - Fri) 8am to 5pm - 40 hrs, 1 hour for lunch daily.
