About the role Contractual Hours 35.00 About the role The Executive Assistant to the Chief Executive’s Office provides high-level executive support to the Chief Executive and Chief of Staff, and the Chair of the UCAS Board as required. The role requires a deep understanding of organisational and individual priorities and the skills to manage complex schedules whilst exercising sound judgement, discretion and confidentiality. Key accountabilities: High-level executive support for the Chief Executive’s Office including: Proactive management of complex, continually changing diaries including the booking of travel and accommodation (domestic and overseas). Ability to use initiative and knowledge of strategic and operational priorities to support the Chief Executive in the management of their workload, whilst navigating competing demands. Forward planning and preparation to ensure that Chief Executive (plus Chief of Staff and Chair of the UCAS Board) are sufficiently prepared for all meetings, whether internal and external – including those with senior sector stakeholders and government officials. Triaging of communications received into the Chief Executive’s Office, responding to enquiries as appropriate or passing on to appropriate colleagues where necessary. Escalating those communications requiring priority responses. Responsible for the day to day management of the Chief Executive’s Office, including oversight of budget and finances. Skills, qualifications, and experience Significant previous experience of working in an Executive Assistant role (or similar) at Executive or Director level, which includes proactive diary management, high-level administrative support, dealing with confidential and sensitive matters and interacting with a wide range of internal and external stakeholders. Demonstrable experience of developing and maintaining positive, effective relationships and partnerships with a wide range of stakeholders and customers across all levels, both internally and externally Demonstrates an eagerness to understand UCAS’ strategic objectives and resulting priorities for the Chief Executive, Executive and Senior Leadership team and Chair of the UCAS Board. Demonstrable experience of providing secretariat services to senior level meetings, including the preparation of agendas and taking of accurate minutes. Experience in coordinating and managing small scale events. Excellent organisational and multi-tasking skills with the ability to prioritise changing workloads in a busy, fast paced environment. Able to plan and organise work to achieve the required result to deadline under minimal direction or instruction. Offers excellent levels of customer service at all times and in all situations. Works with a high degree of accuracy and attention to detail. Confident in taking ownership of tasks and ensuring their completion to a high standard.
