A leading law firm is seeking an experienced PA to join its Private Client & Tax team. The group delivers a comprehensive service to a diverse and high-profile client base, including HNW individuals, family offices, trustees, financial institutions, established businesses and start-ups.

The Role

You will provide high-level administrative and secretarial support to a group of partners and lawyers, enabling them to manage their caseloads efficiently. The role requires someone confident, organised and highly professional, who can work under pressure, anticipate needs and communicate effectively at all levels.


Key Responsibilities:


Relationship Management

* Work collaboratively within the wider PA team to deliver consistent, high-quality support.
* Liaise with document production teams to coordinate document creation, amendments and transcription.


Organisation

* Manage complex diaries and schedule internal, external and occasional international meetings.
* Coordinate meeting logistics, prepare documentation and arrange conference calls, lunches and dinners.
* Plan ahead for upcoming commitments, anticipating requirements before and after meetings.


Communication

* Use judgment when prioritising workload and managing enquiries.
* Maintain up-to-date contact information for clients and key stakeholders.


Expenses, Time Recording & Billing

* Prepare and process expenses.
* Support fee earners with time recording and billing tasks as needed.


File Management

* Coordinate client onboarding with fee earners and compliance teams, ensuring relevant regulations are met.
* Prepare draft engagement letters and maintain electronic filing on iManage.


General Administrative Support

* Produce and amend documents as required.
* Maintain key administrative information for partners and lawyers.
* Keep client databases (Interaction) updated.
* Provide support on ad-hoc projects and assist with billing processes.


About You

* Previous PA experience, ideally within Private Client or Litigation.
* Strong IT capability with fast, accurate typing.
* Exceptional organisation and time-management skills.
* Able to work well under pressure and adapt to changing priorities.
* Professional, confident and proactive approach.
* Team-focused, reliable and able to maintain strict confidentiality.
* Flexible and open to new technologies and evolving ways of working.
