About the Role
We are seeking a proactive and hands-on Facilities Coordinator to support the Facilities & Maintenance Manager and oversee the smooth running, maintenance and legal compliance of a busy site.
You will play a key part in ensuring the facility-and any on-site tenants-operate within high standards of safety, functionality, compliance and appearance. The role includes responsibility for facilities budgets and a dotted-line leadership relationship with the Facilities Technician.
Key Responsibilities
In this varied and dynamic role, you will:
Respond promptly and effectively to facilities issues and requests.
Provide dotted-line management and coordination for the Facilities Technician.
Manage risk-based actions relating to the Risk Register and insurance requirements.
Ensure facilities compliance for the organisation and its tenants.
Diagnose issues and implement corrective actions.
Develop long-term plans for maintenance, servicing and general site upkeep.
Work within RACI frameworks to lead or support facilities-related projects.
Partner with Procurement to implement SLAs, manage contracts and oversee services (security, pest control, HVAC, etc.).
Oversee fire system management and compliance.
Maintain an ongoing gap analysis against EHS legislation and ensure inspections, testing and remedial actions are completed.
Communicate effectively with stakeholders affected by repairs, installations or refurbishments.
Manage onsite contractors and ensure Safe Systems of Work are followed.
Oversee departmental waste management.
Control spend within approved facilities-related budgets.
Uphold company policies across attendance, holidays, discipline and reporting.
Act as a key point of contact for commercial tenants and on-site group companies.
Support data collection for environmental, sustainability, cost or business-case needs.
Support development and management of the company's CMMS.
Carry out any other reasonable duties as required.
Person Specification
Essential
Qualifications:
GCSEs Grade 4+ (or equivalent) in Maths and English.
Experience:
Minimum 3 years' experience in a similar facilities role.
Technical Skills:
Broad practical skills such as plumbing, carpentry or similar trades to maintain building integrity.
Knowledge of various trades and their principles.
Awareness of HSE compliance (experience leading compliance work desirable).
Competencies:
Strong verbal and written communication.
Computer literate with the ability to log activity, liaise with suppliers and raise purchase orders.
