While titled as an Executive Assistant position, the role operates at a strategic level, requiring strong judgement, anticipation, and the ability to operate as a trusted partner to the Managing Director and leadership team. The successful candidate will act as a central point of coordination, enabling effective decision‑making, driving alignment, and ensuring the smooth execution of business priorities across the region.
Executive Support & Prioritisation
* Provide high‑level support to the MD, ensuring effective prioritisation of time, focus, and business‑critical activities
* Anticipate requirements and proactively prepare briefings, materials, and forward planning
* Act as a gatekeeper, managing competing priorities and enabling effective decision‑making
Regional Coordination & Operational Support
* Act as a central coordination point across seven Northwest Europe entities when required
* Ensure consistency of approach across markets
* Monitor and follow up on key actions to ensure delivery against business objectives
Leadership Enablement & Governance
* Create meeting governance and prepare agendas and materials for Core Leadership, Extended Leadership Team, and regional all‑hands meetings
* Support leadership cadence, ensuring meetings are purposeful, well‑structured, and outcomes‑focused
* Track strategic initiatives and provide regular reporting to support visibility and accountability
Internal Communications
* Own and deliver internal communications on behalf of the Managing Director
* Draft clear, engaging messaging aligned to business priorities using internal platforms
* Ensure consistency of tone and messaging across the region
Legal & Compliance Coordination
* Coordinate and track legal documentation and signature processes across multiple entities
* Ensure timely completion of approvals in line with governance and compliance requirements
Events & Engagement
* Lead the planning and execution of UK‑based internal events, including leadership visits, town halls, and employee engagement
* Coordinate with facilities, IT, and external providers to deliver seamless experiences
* Drive and celebrate attendance and engagement across the business
Diary, Travel & Logistics Management
* Manage a complex and dynamic diary, ensuring optimal use of time across multiple stakeholders and geographies
* Coordinate travel, roadshows, and multi‑location meetings when required
Financial & Administrative Oversight
* Review and approve expenses on behalf of the Managing Director in line with company policy
* Support budget awareness in relation to events and travel where required
Stakeholder Management
* Build strong working relationships with senior stakeholders across the business
* Operate effectively within the Executive Assistant network to ensure coordination of priorities and initiatives
* Influence and align stakeholders without formal authority

* Leadership meetings are structured, purposeful, and drive clear outcomes

* Significant experience supporting senior executives in a fast‑paced, complex organisation
* Strong organisational skills with the ability to manage multiple priorities simultaneously
* High level of discretion and experience handling confidential information
* Excellent written and verbal communication skills
* Strong stakeholder management and influencing skills
* Ability to think ahead, anticipate needs, and act with initiative
* Comfortable operating across different teams, functions, and geographies
* Proficiency in Microsoft Office and internal communication tools
