An opportunity has arisen in the Cardiology Department for a Senior Admin Assistant.
We are seeking to recruit an enthusiastic and self-motivated individual to join a busy, friendly team.
Responsibilities include advising and supervising clerical staff, planning and booking appointments, maintaining accurate written records, and conducting some statistical and audit work. The role involves working across two sites: Royal Albert Edward Infirmary and Leigh Infirmary.

Planning and Organisational Duties
1. Planning the work of clerical staff, including staff rosters across multiple sites, ensuring daily duties are completed.
2. Prioritising workloads to assist with unscheduled activities, ensuring patient care is not compromised.
3. Booking and managing patient appointments for various procedures and diagnostics.
4. Managing non-routine activities, such as rescheduling patients and handling emergency bookings.
5. Solving problems and communicating complex information about test changes and pre-assessment needs.
6. Using protocols for patient medication management before diagnostic tests.
7. Utilising multiple IT systems to plan clinics and prevent breaches.
8. Coordinating with patients and teams to confirm pre-procedure requirements.
9. Collaborating with external sources like GPs and tertiary centres for patient care continuity.
10. Managing patient appointment systems and assisting in IT system induction for new users.
11. Liaising with porters, wards, and ambulance services for patient transport.
12. Reporting referral and waiting time trends to managers.
13. Monitoring attendance and DNAs, ensuring follow-ups are arranged.
14. Handling mail, referral letters, and calls, providing advice from MDTs.
15. Producing reports using Microsoft/Excel.
16. Identifying and implementing service improvements.
17. Overseeing clinic operations for timeliness and efficiency.
18. Representing clerical staff in meetings on policy and service development.
19. Ensuring patients receive appropriate follow-up appointments and monitoring patient flow.
20. Participating in service audits and data input tasks.
Communications and Key Working Relationships
Maintain a confident, empathetic approach, especially in distressing situations like procedure cancellations. Communicate effectively with patients, clinicians, and staff, respecting cultural and individual differences. Handle emotional situations professionally.
Responsibility for Finance
Identify resource deficits, monitor materials and equipment, and organize transport and interpreter services, considering financial costs.
Responsibility for Human Resources
Maintain personal and professional development, participate in training and supervision, contribute to inductions, and assist in staff appraisals.
