We’re working with a respected and growing law firm looking to appoint a Private Client Assistant to support their Private Client Team Leader. This is a varied and rewarding role where you’ll help ensure clients receive a smooth, supportive, and professional experience throughout their matters.

What You’ll Be Doing:
Client Service
1. Progress matters under the guidance of the Team Leader, including Wills, LPAs, Probate and Trust Administration
2. Provide professional, courteous support to clients
3. Ensure accuracy of all documents and correspondence
4. Adhere to the Solicitors Code of Conduct and Accounts Rules
5. Flag any client or third-party complaints promptly to the Head of Department
6. Work towards fee-earning targets (min. chargeable hours/year)
7. Refer clients to other departments where beneficial
Matter Administration
8. Manage your own caseload with high standards in time recording, billing, and client care
9. Use probate software to draft key documents and forms (e.g. Wills, LPAs, probate applications)
10. Keep digital and physical workspaces in order
11. Bill promptly, chase costs, and handle client money in accordance with procedure
Secretarial & Administrative Support
12. Open and close files, perform AML checks
13. Support the team with calls, visitors, diary management, and meetings
14. Manage post, emails, and file organisation
15. Handle typing and document dispatch (including outsourced material)
16. Work with the Accounts team to process disbursements and cheques
17. Maintain accurate client records using Peppermint/Isokon
18. Assist with photocopying, archiving, and general office troubleshooting
19. Support colleagues with phone cover and ad-hoc admin when needed
20. Greet and assist clients who come into the office
21. Maintain legal document storage and registers
What You’ll Bring:
22. Legal/Private Client experience (preferred) or relevant qualifications
23. Legal secretarial background (desirable)
24. A strong commitment to client care and clear communication
25. Great organisational skills, calmness under pressure, and excellent attention to detail
26. Confidence using IT and legal software systems
27. A proactive and professional approach with the ability to follow instructions
28. Strong timekeeping and a supportive team spirit
