We’re looking for a motivated and organised Credit Controller Administrator to join our team on a 12-month fixed-term contract. This role plays a crucial part in managing our monthly invoicing cycle, ensuring smooth payment processing, maintaining client account accuracy, and delivering outstanding service. The ideal candidate will have strong administrative and communication skills, with the ability to manage multiple priorities and interact confidently with clients. What You’ll Be Doing: Client Payments & Communication • Prepare and update lists for overdue payments and send reminder emails. • Follow up with clients via phone and email regarding payments. • Make final calls before escalation to our Debt collection agency. • Respond to account-related emails and calls professionally. • Engage with clients throughout the billing cycle to ensure clarity and resolution. • Support clients in resolving payment or access issues. Billing & Account Administration • Assist with sending monthly invoices using our payment system (Square). • Track failed Direct Debit lists, including payment reattempts and coordinate with clients for resolution. • Add relevant fees and updates to our system (The Hub). • Handle client queries including cancellations, reactivations, and account inquiries. • Ensuring new Direct Debit mandates are properly matched to the correct client account. • Check client payment records to prior to any client reactivations. Systems & Data • Learn to use platforms like Xero and our internal system (The Hub). • Ensure client accounts are accurate and up to date. • Assist with internal reporting and data entry. What We’re Looking For: • A strong background in credit control and administration. • Excellent communication skills – confident writing emails and speaking with clients. • Highly organised with good attention to detail. • Comfortable using spreadsheets, data systems, or keen to learn tools like Xero. • A positive, can-do attitude and eagerness to grow and learn. • Comfortable handling sensitive financial data and client records.
