This exciting opportunity is to join the existing Respiratory Administration & Clerical Team at Torbay and South Devon NHS Foundation Trust as a Secretarial Assistant. The role supports the team with high‑quality administrative and secretarial work, including managing patient records and hospital databases.

Responsibilities
* Provide professional, compassionate support to patients, staff and external partners.
* Track patient notes accurately and timely; manage office duties such as email, filing, post, photocopying and reception support.
* Accurately deal with e‑referrals and email to the relevant consultant; ensure daily action.
* Comply with Trust Patient Access Policy and Standard Operating Procedures.
* File all results, reports and correspondence efficiently in line with Health Records standards.
* Answer telephone enquiries efficiently and follow through using initiative.
* Maintain adequate stationery supplies and notify the designated person as necessary.
* Provide cover for the secretarial and administration team and Long Term Conditions teams as required.
* Use IT systems to register patients, transfer records, input clinical letters and care plans.
* Enter and monitor Referral to Treatment (RTT) pathway events accurately; ensure Inter‑Provider Transfers (IPT) are updated; review status at every patient interaction.
* Ensure all clinical and non‑clinical correspondence is typed to local targets, using the Infoflex system (audio and copy typing).
* Manage follow‑up actions such as outpatient appointments, investigations, waiting list entries and referrals to other departments.
* Identify areas for service improvement and support implementation.
* Escalate any anomalies or concerns to the Admin Team Leader.
Person Specification
* Qualifications: GCSE English and Maths grade C or above; minimum RSA II typing ability (or equivalent).
* Desirable: Knowledge of medical terminology.
* Experience: Ability to work to deadlines, use initiative and prioritize workload, work as part of a team, excellent organisational skills.
* Desirable experience: Audio transcription, knowledge of PAS/Infoflex systems, previous hospital/medical environment experience.
