Admin Officer - Receptionist - Newsome Academy

We are looking for a talented Admin Officer/Receptionist who is caring, dynamic and resilient and works with the administration team to provide high quality front‑of‑house services to academy staff and the wider community including families, trust partners and external agencies. The candidate should understand how schools operate and be able to achieve success within these parameters. In addition to reception duties, the successful candidate will be part of the wider administration team.
Duties And Responsibilities
* Constantly uphold and promote our values and vision
* Undertake admin and reception duties for the academy, answering phone calls promptly and greeting visitors on arrival
* Respond to enquiries promptly and accurately and ensure that any messages are passed onto the relevant member of the team in a timely manner
* Categorise emails to the relevant team member when they arrive into the central admin inbox
* Ensuring all visitors to the academy are recorded and have completed the relevant signing‑in process
* Issuing visitors with the relevant lanyard to ensure safeguarding procedures are met
* Providing radio contact for the SLT and pastoral team
* Comply with GDPR regulations by enforcing a clear desk policy, shredding documents daily and keeping sensitive data in locked drawers
* Adhere to office procedures and maintain accurate information to support production of reports on events and implement and record event evaluations and sign‑in sheets
* Effectively use our MIS system (Bromcom) to input student information and run reports
* Ensure the reception area is fully prepared daily – cleanliness, appearance, marketing materials, signage and resources
* Maintain safety and security of all individuals involved in events by reporting concerns, adhering to fire safety regulations and implementing proper attendance procedures
* Maintain a good working relationship with colleagues
* Good communication, written and listening skills to be used at all times with students, customers and staff
* Provide general administrative support alongside the wider admin team within the Main Office and Reception area
