Warmco Space Heating is a family business which was originally part of a business established in Manchester in 1925. Since then, the company has designed and manufactured its own heaters and has supplied a wide range of other manufacturers' heaters.

We are looking for a Company Sales Administrator, to be based in Tockwith between York and Wetherby, to start as soon as possible.

The role is very varied and involves taking sales calls, recording the details of jobs, and preparing quotes. It also requires involvement in all of the administration associated with the sales / installation of heating systems and the running of the company office. There will be an aftersales element to the role which will link to the management of additions to the company website, to keep it up to date. A particularly important aspect of the job is the ability to build relationships with customers and suppliers over the telephone and by email.

The successful candidate must have excellent interpersonal skills, possess good communication skills, be highly skilled in the use of various IT packages, be able to work independently and have excellent organisational skills.

Due to the seasonal nature of the business the successful candidate could choose to work slightly flexibly; contributing more hours in the winter than in the summer, though this is not essential.

Duties

To manage the day-to-day administration of the office and to support the Managing Director with his work. Below is a list of the various tasks you will share responsibility for, by negotiation. Again, this can be discussed at interview:

· Answering the telephone calls, dealing with customer enquiries.

· The processing and issuing of quotations.

· Creation of job files and dealing with the mechanics of organising the jobs e.g. ordering heaters, parts, access equipment for jobs, issuing job sheets to engineers and contacting customers to confirm installation dates, access etc. After sales follow up on completed jobs to check customer satisfaction.

· Checking prices from suppliers and ordering goods.

· Organising a schedule of service work for engineers, booking accommodation.

· Using and maintaining (and where appropriate refine) the Warmco database system and to be skilled in the use of Microsoft Outlook, Excel and Word.

· Maintaining the filing system.

· Updating stock control of heaters/parts

· Processing cheques and bacs payments to Warmco and reconciling bank statements.

· Raising invoices for customers.

· Issuing payment of invoices and where necessary checking and querying invoices. Credit control, maintaining an efficient system of collection.

· Processing and recording of petty cash.

· Updating the company website, adding recent projects and customer testimonials.

Strictly no agencies or phone calls, all enquiries by email.

Job Type: Part-time

Pay: £12.25-£13.50 per hour
