Home Care Executive Assistant - FT
Monday - Friday 8am -5pm

SUMMARY
Responsible for answering and responding to all telephone calls related to staff, client schedules, and resident services issues. Schedules field staff, giving pertinent client information, providing directions and other appropriate assistance to staff as needed. Organizes and sets priorities to manage the daily/weekly workload. The priority is always responding to residents and clients. Responsible for assisting the staffing coordinator with meeting the resident's needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Answers incoming telephone calls promptly in a polite and pleasant manner at all times.
* Obtain appropriate information from prospective clients or health care facilities to complete requests for private duty or staff relief personnel.
* Complete Intake Form and communicate information promptly to RN Case Manager and Administrator.
* Communicate pertinent information to the Administrator, RN Case Managers, field employees, other office personnel, other health care facility staff, clients or families in a timely and organized manner.
* Resolves employee/client problems with input from the RN Case Manager/Administrator.
* Prepares Home Care Orientation packets for the new team members, obtains proxy cards and starts their interoffice file.
* Document all employee and client incidents, providing reports to the Administrator or designee.
* Maintain communication with all clients, client families, facilities, trust officers, physician offices; refer to Administrator when need arises.
* Refers all clinical issues or questions to the RN Case Manager/On-call.
* Ensures accuracy and timeliness of weekly payroll batching processes and monthly billing.
* Prepare payroll for submission to the Accounting Department.
* Checks contracting agency billing statement for accuracy; verifies dates and hours worked by employees utilized by the agency.
* Produces weekly census and over-time reports.
* Assists the Accounting Department as requested.
* Must be able to work Sunday as required.
* Evaluate and provide input for field staff employees if required by RN Case Managers.
* Assist with the maintenance of client files.
* Maintains office supplies and assists the RN Case Manager in maintaining medical supplies.
* Designs and implements systems to increase communication and efficiency with office staff.
* Compliance: Responsible for maintaining department and corporate compliance by helping obtain items (such as current licenses, CPR certifications, etc.) as required by applicable regulations.
* Assists Administrator with ensuring compliance with corporate policies and procedures. Monitors yearly in-service requirements for field staff and nurse's in-service information.
* Must interact courteously, tactfully and politely with managers, co-workers, residents, vendors or associates to preserve productivity and moral.
* Coordinates special projects, i.e.; Flu Clinic, Lunch & Learns, Trainings, etc.
* In the absence of the Home Care Scheduler the Executive Assistant will fill in and assist in the scheduling process as needed.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Computer skills a must. Two years minimum experience in health care/home care.
The ability to work well under stress, to be able to adapt to change, and to be flexible are essential. A high energy level is required, and high level of stamina is necessary to keep up with the pace of work. Must have excellent telephone skills and organizational ability. Must be able to work independently. Requires the use of judgment when staffing and the ability to react in a positive and spontaneous manner, to evaluate and to respond appropriately to the needs of staff, residents, families, physicians. Must be able to handle a multiplicity of routine tasks; following general and specific instructions carefully and completely. Requires a cooperative and courteous attitude despite simultaneous demands. Must be able to work overtime when necessary.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED). Must be CPR certified within 30 days of employment.

LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

While performing the duties of this job, the employee is regularly exposed to fumes or airborne particles. The employee is frequently exposed to wet and/or humid conditions, moving mechanical parts, toxic or caustic chemicals, outside weather conditions, extreme cold, risk of electrical shock, and vibration. The noise level in the work environment is usually moderate.
