At Guild Care, we are looking for an Administration & Events Assistant on a 12-month fixed-term contract (35 hours per week) to join our friendly team and help make a real difference in the community. In this varied role, you'll support our volunteer programme through smooth onboarding, clear communication, and creative event coordination. You'll also help shape recruitment materials, draft key documents, assist with interviews, and contribute to promoting volunteering across Worthing—bringing energy and structure to everything we do.
About The Role
As the first point of contact for all volunteer enquiries, you'll be the friendly and professional voice of Guild Care's volunteering programme. Whether it's answering calls, replying to emails, or directing queries to the right team member, your communication skills will help ensure every potential volunteer feels welcomed and supported from the start.
You'll play a key role in keeping our volunteer records accurate and up to date. From maintaining digital folders and CRM entries to ensuring all documentation meets organisational and regulatory standards, your attention to detail will help us stay compliant and organised. You'll also oversee onboarding processes, making sure every volunteer joins us in line with Guild Care's safer recruitment practices.
Communication is at the heart of this role. You will send regular newsletters and updates, respond to enquiries from schools, colleges, and community groups, and promote volunteering opportunities across platforms like Indeed, our website, and social media. You'll also be the go to contact for work experience and Duke of Edinburgh placements.
Celebrating and supporting our volunteers is a big part of what we do. You'll help organise internal events and recognition initiatives that show appreciation for their contributions. You'll also compile weekly and monthly reports to track volunteering trends, and send out leaver surveys to gather feedback that informs our retention and engagement strategies.
Finally, you'll ensure all volunteers are aware of and comply with Guild Care's policies, helping maintain a safe and supportive environment for everyone. This is a varied and rewarding role where your organisational skills, creativity, and people-first approach will make a real difference in the lives of our volunteers and the wider community.
Required Criteria
* Strong written and verbal communication skills.
* Excellent time management, organisation, and planning abilities.
* A collaborative team player with a proactive and flexible approach.
* Confident in data entry and maintaining accurate records.
* Ability to develop positive working relationships with internal and external stakeholders.
Desired Criteria
* Experience in an administrative, HR, or recruitment role.
* Previous work in the voluntary sector or with volunteers.
* Understanding of the needs of individuals with learning disabilities.

Guild Care was founded in Worthing in 1933 by visionary volunteers dedicated to supporting vulnerable individuals in the local community. Originally known as Worthing Council of Social Service, the organisation focused on alleviating poverty, isolation, and health challenges during difficult times. Over the following decades, Guild Care consistently expanded its services, proactively responding to the community's evolving needs.
In the 1950s and 1960s, Guild Care established innovative day centres and residential care homes, significantly enhancing life quality for older adults and individuals with disabilities. Adapting continually, the charity later introduced specialised dementia care facilities and tailored services for those with learning disabilities.
Today, Guild Care supports over 3,000 people annually across West Sussex through a range of community-focused services. Remaining true to its founding values, the organisation is one of Worthing's largest employers, powered by almost 700 dedicated staff members and the essential contributions of more than 300 volunteers, all united in making a meaningful difference.
