We currently have an exciting opportunity for a People (HR) Administrator to join our People Team in Falkirk. As our People Administrator, your primary focus will be the stewardship of our people data, including the accurate maintenance, cleansing, and compliant filing of employee information in line with organisational policies and regulatory requirements in preparation for, and during the course of, the migration to a new HRM system.
You’ll also act as a point of contact for people‑related queries, offering a warm, helpful and professional service to colleagues across the organisation.
The role is offered on a 1-year fixed term basis and with a starting salary of £28,105 (Band B). Scottish Canals operates a hybrid working pattern for office staff. Regular office working hours are 35 hours per week, Monday to Friday, however applications are welcome from those seeking to work either full-time or part-time over a minimum of four days.
Scottish Canals offer a generous annual leave entitlement of 32 days plus 6 public holidays (pro rata), along with enhanced sick pay, discounted shopping vouchers, health cash plan and a contributory pension scheme with up to 10% employer contribution dependant on employee contribution.
Primary Responsibilities Of The Role
* Maintain accurate and up‑to‑date HR records, files, and systems, ensuring data integrity.
* Coordinate cleansing, formatting and organising of existing data in preparation for migration.
* Collaborate with Project Management Office and system provider (Moorepay/Natural HR) in the migration for data.
* Prepare documentation such as contracts, variations, correspondence, and reports.
* Support the monthly payroll process by gathering and verifying data such as changes, absence records, and new starter information.
* Assist with employee relations administration including note‑taking, meeting coordination, and document preparation.
* Produce routine management information and reports as required.
* Support People Team initiatives, projects, and process improvements.
* Ensure compliance with GDPR and organisational policies at all times.
Qualifications And Knowledge Required
* SVQ/NVQ in Business Administration Level 3, HNC/HND or equivalent essential.
* CIPD Level 3 (or working towards) desirable.
Skills And Experience Required
* Good levels of written and verbal communication skills.
* Excellent organisational and time‑management skills.
* Ability to handle confidential information sensitively.
* Proficiency with Microsoft Office and HR information systems (HRIS).
* Ability to prioritise and manage multiple tasks.
Qualities & Abilities Required
* People focused with a passion for data, accuracy and problem solving.
* Excellent communication, writing and presentation skills, with strong attention to detail.
* Experience of working to schedules and deadlines, with good organisation skills.
