Job Summary:
As an Administrator, you will play a crucial role in managing and optimising administrative operations within an organisation. You will be responsible for overseeing and coordinating a wide range of administrative tasks, ensuring the smooth functioning of various departments and supporting the overall efficiency of the organisation.
Responsibilities:
Administrative Coordination: Act as the central point of contact for all administrative matters within the organisation. Coordinate and collaborate with different departments to ensure seamless communication and efficient workflow.
Process Improvement: Identify areas for process improvement and develop strategies to enhance administrative efficiency. Implement standardised procedures and best practices to streamline operations and reduce redundancies.
Resource Management: Efficiently allocate and manage administrative resources, including personnel, supplies, and equipment. Anticipate resource needs and proactively plan for their availability to support day-to-day operations.
Budget Oversight: Collaborate with finance and other relevant departments to develop and manage the administrative budget. Monitor expenses, identify cost-saving opportunities, and ensure compliance with financial policies and procedures.
Policy and Procedure Development: Develop and maintain administrative policies and procedures, ensuring they align with organisational goals and industry standards. Regularly review and update the documentation to reflect changes in regulations or internal requirements.
Training and Development: Assess training needs for administrative staff and provide guidance and support for their professional development. Conduct workshops or seminars to enhance administrative skills and promote a culture of continuous improvement.
Information Management: Oversee the management and organisation of administrative data, documents, and records. Implement systems and technologies for efficient data storage, retrieval, and security.
Vendor Management: Collaborate with procurement and vendor management teams to evaluate, select, and manage relationships with external service providers and suppliers. Negotiate contracts and monitor performance to ensure adherence to service-level agreements.
Crisis Management: Develop and implement emergency response plans to address potential disruptions to administrative operations. Act as a point of contact during crises, providing guidance and support to ensure business continuity.
Compliance and Risk Management: Stay updated with relevant laws, regulations, and industry standards pertaining to administrative functions. Implement measures to mitigate risks, ensure compliance, and maintain a secure and ethical work environment.
Qualifications:
* Business Administration, Management, or a related field.
* Proven experience in administrative management, preferably in a supervisory or leadership role.
* Strong organisational and multitasking skills with the ability to prioritise and meet deadlines.
* Excellent communication and interpersonal skills, with the ability to work collaboratively across different departments.
* Proficient in using administrative software, productivity tools, and enterprise systems.
