Role Summary
The Project Coordinator is a key team member responsible for supporting HVAC Capital Works projects in Northern Ireland. This role involves multitasking and prioritizing in a busy environment, based at our Mallusk office.
Key Responsibilities
1. Coordinate site construction projects for effective and timely completion.
2. Manage scheduling of engineers to ensure adequate coverage.
3. Handle incoming calls and record/manage communications efficiently.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process operative paperwork and close calls for payment submission.
7. Respond within agreed timeframes to meet service levels and contract terms.
8. Achieve targeted KPIs related to contract requirements.
9. Assist in cross-training team members for contract coverage.
10. Perform routine administrative tasks.
11. Communicate with key stakeholders and clients effectively.
12. Escalate issues early to line managers or clients.
13. Adhere to policies, procedures, and safety standards.
14. Support with applications and certificates from authorities/clients.
15. Schedule daily runs for multiple operatives and organize materials, liaising with suppliers and subcontractors.
16. Maintain professionalism and confidentiality at all times.
17. Evaluate engineer performance and bonuses.
Person Specification
* At least 1 year of office experience.
* 5 GCSEs including English and Maths.
* Proficient in Microsoft Office.
* Proactive with the ability to work independently.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Team player with good relationship-building skills.
* Adaptable, flexible, and positive attitude.
* Trustworthy and approachable.
* Demonstrates a can-do attitude.
