Conveyancing Assistant – Key Responsibilities General Duties: * Assist Conveyancers with managing property transaction caseloads, including handling file-related queries in person or via phone. * Support with maintaining and organising conveyancing files in accordance with firm procedures and legal standards. * Ensure clients are treated with professionalism and courtesy; escalate legal matters to the Conveyancer as needed. * Attend to client instructions and make necessary enquiries via telephone or written correspondence. * Respond promptly and helpfully to incoming phone enquiries. * Provide accurate fee estimates by phone, email, or through referrals. File and Case Management: * Adhere to practice procedures and legal compliance for effective case handling. * Independently manage your workload with minimal supervision while maintaining high productivity and quality standards. * Liaise with all parties involved in transactions (clients, estate agents, referrers, solicitors, search providers, lenders, etc.) to facilitate case progression. Compliance and Office Duties: * Maintain confidentiality of all client and firm-related information. * Contribute to a healthy, safe, and organized working environment. * Uphold and promote equality, diversity, and firm-wide office procedures. Specific Conveyancing Tasks: For Sales, Purchases, and Re-mortgages: * Handle delegated tasks such as: * Preliminary file setup and checks. * Request and collate documentation from clients, counterparties, and third parties (HMLR, HMRC, lenders). * Draft standard sale contracts and mortgage documents under supervision. * Help prepare replies to enquiries and communications with lenders. * Calculate financial figures (e.g., redemption statements, mortgage figures) as instructed. For Purchase Transactions: * Obtain initial documentation and compile contract packs. * Support title checks and preparation of title reports. * Assist with raising and managing enquiries. * Review mortgage offers and assist in reporting on them. * Order, review, and report on property searches under the Conveyancer's direction. This role is essential in ensuring smooth and efficient conveyancing operations and is ideal for someone with strong administrative skills, attention to detail, and a keen interest in property law
