Procurement & Fleet Specialist
Salary: £28,500
Contract: Permanent
Location: Lichfield. Hybrid - 1 day per week in the office
Holidays: 23 days annual leave + bank holidays + your birthday off
About the Role
We are looking for a proactive Procurement Specialist to provide high‑quality administrative, operational, and analytical support across procurement and fleet activities. This is a varied, hybrid role that blends procurement discipline, systems expertise, data analysis, and continuous improvement, with exposure to fleet operations.
The role plays a key part in ensuring data accuracy, compliance, supplier governance, financial control, and process efficiency. It will suit someone who enjoys working across systems, spotting inefficiencies, automating manual processes, and partnering closely with stakeholders across the business.
While prior procurement experience is essential, fleet‑specific knowledge can be developed with training and support.
Key Responsibilities
Procurement Support
Maintain supplier records, contract registers, and compliance documentation
Support tendering, quotations, and supplier due diligence activities
Provide procurement support to projects across the business
Analyse spend and supplier performance data to identify savings and improvement opportunities
Create and manage purchase orders for centrally negotiated contracts
Support procurement system administration (e.g. catalogues, supplier enablement, workflows)Fleet Support
Maintain accurate vehicle records, insurance, servicing, MOTs, and compliance schedules
Provide guidance on driver policy and fleet compliance requirements
Manage third‑party fleet and telematics provider relationshipsFinancial, Systems & Reporting
Review, reconcile, and validate procurement and fleet invoices against contracts and purchase orders
Identify discrepancies, overcharges, and process improvements
Support supplier reconciliations and monthly expenditure tracking
Produce KPI reports, dashboards, and management information
Act as a first point of contact for procurement and fleet queriesContinuous Improvement & Ways of Working
Identify opportunities to automate and digitalise processes
Improve workflows, templates, and system usage to enhance efficiency
Support system improvements across procurement and fleet tools
Maintain intranet guidance and procedural documentation
Provide cover for colleagues to ensure continuity of service Skills, Experience & Qualifications
Essential
Proven experience in procurement or a transactional purchasing role
Strong IT and systems skills, particularly Microsoft Excel (intermediate to advanced)
Excellent organisational, analytical, and data management skills
Experience reviewing invoices, reconciling accounts, and managing supplier queries
Confident communicator able to work with stakeholders at all levels
Strong attention to detail with the ability to manage multiple prioritiesDesirable
Knowledge of procurement systems (e.g. Coupa, VPS, telematics platforms)
CIPS qualification or working towards
Experience with process improvement, automation, or digital transformation
Exposure to project management or data analytics
