Are you highly organised, confident in managing complex schedules, and passionate about improving patient care? NHS Borders is seeking a proactive and experienced Waiting List Coordinator to join our dynamic Inpatient Waiting Times team.


About the Role

As the Waiting List Coordinator, you will lead the Inpatient Central Booking function, ensuring the efficient scheduling of patients for theatre across multiple specialties. You’ll play a key role in managing inpatient and day case waiting lists, working closely with consultants, theatre teams, and external providers to meet national and local waiting time targets.


Key Responsibilities

* Schedule patients for theatre, ensuring optimal use of clinical capacity.
* Liaise with consultants and theatre coordinators to manage theatre lists.
* Monitor and respond to potential breaches of waiting time guarantees.
* Maintain accurate records using TrakCare and Sapphire systems.
* Manage patient communications, including appointment offers and cancellations.
* Supervise the Inpatient Central Booking team, including appraisals and leave allocation.
* Respond to Freedom of Information requests and patient complaints.
* Deputise for the Scheduling Team Leader as required.


What We’re Looking For

* HNC-level education or equivalent experience
* Knowledge of theatre scheduling and waiting list management.
* Strong communication and negotiation skills.
* Experience supervising staff and managing competing priorities.
* Proficiency in NHS systems including TrakCare, Sapphire, and Microsoft Office.

As from 1st April 2026 the Agenda for Change full-time working week reduced from 37 to 36 hours per week. Part time hours will be reduced pro‑rata. However, there will be a corresponding increase in the hourly rate so that pay will not be affected.

Due to legislative changes from 1 April 2025, this post may require a different level of criminal records check done than is currently the case. If the post is assessed as a "regulated role", your appointment will be subject to joining the Protecting Vulnerable Groups (PVG) Scheme. If there is any change to what is currently required, this will be confirmed by either the Hiring Manager or the Recruitment Team. To work in the United Kingdom, there is a legal requirement for an individual to demonstrate that they have the relevant permission to work in the country. This permission is, without exception, granted by the UK Visa and Immigration Service.
