Role Description


We are seeking a highly organised and detail-oriented Wholesale Admin Assistant to provide administrative and operational support to the wholesale team. This full-time, hybrid role is ideal for someone with experience in fashion wholesale and strong systems knowledge who thrives in a fast-paced environment. The role plays a key part in ensuring smooth order processing, maintaining clear communication with retail partners, and supporting effective sales coordination. Acting as a central point of contact for wholesale administration, you will help ensure client satisfaction while contributing to business growth through accurate systems management, proactive communication, and strong organisational skills.


Duties And Responsibilities


• Process incoming wholesale orders via Joor and Zedonk, ensuring accuracy and timely system updates.

• Respond to wholesale inquiries regarding pricing, product details, lead times, shipping information, and after-care.

• Assist in onboarding new wholesale accounts and update customer records and databases as required.

• Monitor stock levels to ensure accurate availability information for wholesale clients.

• Proactively update wholesale customers on out-of-stock items and upcoming shipments.

• Handle returns, damages, and shipping discrepancies, ensuring timely resolution.

• Track and update shipment statuses, communicating externally with retail partners as needed.

• Generate sales invoices, packing lists, and shipping labels when required.

• Coordinate samples in collaboration with the buying team.

• File and organise wholesale contracts, order forms, and price lists.

• Maintain accurate records within CRM systems and order databases.

• Assist in preparing sales reports and inventory updates for internal meetings.

• Support wholesale buying appointments and showroom preparation.

• Manage showroom operations during key selling periods.

• Conduct basic market and customer research to support sales strategy, including prospecting potential stockists and new markets.


Skills And Experience Required


• Previous experience within fashion wholesale or a similar retail environment.

• Strong administrative skills, including proficiency in Excel (experience with Joor and Zedonk is advantageous).

• Excellent organisational skills with a high level of accuracy and attention to detail.

• Ability to multitask, prioritise effectively, and work well under pressure.

• Confident written and verbal communication skills.

• Experience maintaining CRM systems and order databases.

• Strong problem-solving ability and commercial awareness.

• Ability to collaborate effectively with internal teams and external partners.

• Personable with the ability to network and build strong client relationships.

• Proactive, methodical, and able to contribute ideas and suggestions.

• Passionate about Damson Madder, with a keen interest in commercial sales.
