Job Title: Training Administrator

Hours: Monday to Friday, 9:00 AM – 5:00 PM
About the Role
Trigon Recruitment are seeking a proactive and detail-oriented Training Administrator to join a fantastic team based in Brighton. This is a key support role working across training delivery contracts (specifically Adult Skills Fund - AEB funded) to ensure learners are correctly enrolled, supported, and progressing as expected.
This is an ideal opportunity for someone with strong administrative experience, ideally in a training or college environment, who is confident managing multiple priorities and maintaining compliance standards.
Key Responsibilities:
Learner Onboarding and Administration
Coordinate the full learner onboarding process: Prepare and send start packs, enrolment forms, and supporting documents to learners in a timely and accurate manner.
Track and follow up on outstanding paperwork to ensure full and compliant completion (including electronic signatures where applicable).
Verify learner eligibility against funding requirements and ensure documentation aligns with AEB/ASF contract rules.
Attendance and Learner Progress Monitoring
Monitor and track learner attendance and engagement using internal systems and tutor feedback.
Flag and escalate any concerns around non-attendance or disengagement to relevant delivery staff or managers.
Maintain accurate, real-time records of learner activity for audit and reporting purposes.
Tutor Support and Coordination
Act as the first point of contact for tutors regarding learner paperwork, delivery schedules, and admin queries.
Coordinate with tutors to ensure all delivery paperwork (e.g. session plans, registers, learning outcomes) is completed and submitted correctly.
Organise and manage digital folders or shared spaces (e.g. Microsoft Teams) for tutor documentation.
Compliance and Quality Assurance
Conduct thorough compliance checks on all learner files, including start, mid-point, and completion paperwork, ensuring everything meets internal and external audit standards.
Ensure all required evidence is collected, stored, and easily retrievable.
Maintain up-to-date knowledge of ESFA funding guidance and audit requirements to support internal quality checks.
Awarding Body and Certification Management
Register learners with relevant awarding bodies in a timely manner.
Maintain accurate records of registrations, completions, and certificates received.#
Coordinate the issuing or distribution of learner certificates.
CSCS Card Administration
Support learners requiring CSCS cards as part of their programme by coordinating purchases, ensuring eligibility, and arranging delivery/collection.
Month-End and Funding Claim Preparation
Prepare and upload all required documentation to meet month-end claim deadlines for funded provision.
Ensure learner files are claim-ready with full audit trails and evidence.
Liaise with the finance or MIS team to clarify queries or update learner records as needed.
Data Entry and Reporting
Maintain accurate learner records in internal systems or spreadsheets (e.g. enrolment dates, start/completion status, attendance tracking).
Produce reports on learner progress, completions, and compliance status as required by management.
