Personal Assistant to Senior Leadership Team

We are looking for a highly organised and proactive Personal Assistant (Band 4) to join our team, providing a comprehensive and confidential administrative service to the Children's Care Group Senior Leadership Team. This pivotal role supports senior leaders including the Care Group Director and wider management team, ensuring the smooth day‑to‑day running of the service by acting as a central point of coordination, communication and organisation.
The role involves managing complex diaries and email inboxes, coordinating meetings, preparing agendas, reports, presentations and correspondence, and attending meetings to take accurate minutes. It requires effective prioritisation, handling sensitive information with discretion and acting as the first point of contact for internal and external enquiries.
The post holder will liaise closely with managers, clinicians, support services and external agencies, maintain filing and record systems, monitor mandatory training compliance and staff absences, support service improvement initiatives and projects, and provide cross‑cover within the administrative team when required.
Responsibilities

About You
Highly organised, proactive and experienced in a busy or complex environment. Confident working independently, managing competing priorities, maintaining a high standard of accuracy and professionalism. Excellent written and verbal communication skills, comfortable liaising with senior managers and stakeholders, committed to confidentiality and information governance. Adaptable, reliable and able to remain calm under pressure with a flexible approach to work.
Qualifications
* Minimum 5 GCSEs including English, or equivalent, with emphasis on numeracy and literacy
* NVQ Level 3 in Business Administration or equivalent
* RSA/OCR Level 3 Typing/Word Processing or equivalent
* OSA qualification or willingness to undertake study
* Moving and Handling key trainer or willingness to undertake study
Experience
* Demonstrable experience working in a busy office and pressurised environment
* Knowledge and use of Microsoft Office applications
* Experience managing teams
* Administrative experience within the NHS or a complex organisation
* Experience working to and meeting deadlines
* Experience liaising with staff across different disciplines and organisational boundaries
* Experience working across multi‑agency groups
* Experience supporting/managing projects
* Experience in performance management
