Senior Administrator - Childrens Community Nursing & Complex Care
We are looking for a motivated and professional Administrator to support our CYPS Childrens Specialist Nursing Services for 30 hours per week. We are based in Cheltenham.
You’ll be part of a friendly, professional and dedicated team and will provide comprehensive administrative support across the CYPS Childrens Specialist Nursing Services.
Responsibilities
* Coordination of appointments and meetings (SystmOne)
* Acting as a key contact for staff, families and partner organisations (GP Surgeries, educational settings and hospitals)
* Handling confidential and sensitive information
* Procurement of clinical equipment and stock
* Accessing and updating electronic patient records
* Provide effective administrative support and develop a thorough understanding of the service and processes
* Efficiently use System 1 and other databases to record and track the patient’s treatment pathway including clinic appointments and outcomes
* Use appropriate systems to collect, collate and report data and information in an accurate format (e.g. Microsoft Excel, Word, PowerPoint)
* Respond to colleagues in a positive, professional and helpful manner; build good working relationships
* Communicate effectively with a wide range of people including colleagues and members of the public, presenting a professional approach at all times
* Use own initiative to prioritise workload, meet deadlines, and propose changes to working practices to improve efficiency
* Adopt a flexible role within the administration team by assisting with workload in the absence of colleagues to maintain robust and quality service
* Carry out general administrative tasks for the department to agreed standards and timescales (e.g. photocopying, sending correspondence and documents)
* Maintain a well‑managed filing system, both paper and electronic, to ensure ease of access and retrieval in line with Trust protocols
* Actively support team meetings – take accurate notes, present and distribute them timely
* Support equality and value diversity; treat everyone with dignity and respect, and report behaviour that undermines equality and diversity
* Work within guidance of the Trust’s policies and procedures; undertake other support functions as requested by the Service Manager or Administration Lead
* Be flexible in travelling/working between Trust sites as and when required; undertake any other administrative duties as needed
To provide effective administrative support you will need competent and confident IT skills (Microsoft Word/Excel/Outlook) and organisational, proactive, confident and committed to delivering an excellent service.
