Purpose of role:
To provide high-level secretarial and administrative support in a timely and accurate manner to Category Directors and the Buying Department.
In this role, you can expect to:
* Manage diaries for Category Directors, including scheduling supplier meetings on and off-site, resolving clashes, and booking meeting rooms.
* Provide refreshments to the Category Directors each morning and upon request (tea, coffee, water).
* Process and approve expense claims and fuel forms for Category Directors.
* Attend team meetings, prepare agendas, and take minutes.
* Provide relevant information prior to meetings, such as minutes and supplier briefs.
* Coordinate with the Development Kitchen for events like Exec Board lunches, range reviews, and supplier meetings.
* Assist in organizing team offsites, socials, supplier events, and Christmas parties.
* Greet visitors, provide refreshments during meetings, and inform reception of visitors.
* Support the team with ad hoc tasks and holiday cover for the PA role.
* Book accommodation, flights, and trains for the team, ensuring costs stay within budget, and record foreign travel on the insurance list.
* Arrange attendance at trade shows, including travel and accommodation.
* Complete visa arrangements for foreign travel as needed.
* Raise purchase orders and maintain records of all POs.
* Ensure new starters receive GSCOP documentation and training within specified timeframes.
* Update email groups, contact lists, and relevant documentation on the intranet.
* Maintain stationery supplies within budget and carry out fire marshal duties when required.
* Organize flower deliveries as needed.
You should apply if:
* You have knowledge of diary management with high accuracy.
* You are proficient in Word, Excel, and PowerPoint.
* You can communicate effectively at all levels.
* You have experience working in a busy office environment.
* You pay good attention to detail and can prioritize tasks.
* You are proactive in resolving problems and queries.
* You have a friendly disposition, flexibility, and at least 2 years of administrative experience.
* Ideally, you hold an admin/secretarial qualification and a full, clean driving license.
