Job Title: Customer Liaison Representative (Front Of House Role)
Reports to: Front of House Supervisor
Location: Central Manchester
Salary: £13.90ph
Purpose: This role provides a high quality service to our customers by greeting, welcoming and directing them appropriately, and maintaining a welcoming and safe atmosphere. You will be the first point of contact for clients as they arrive to the building.
Hours: 40 hours per week on rolling shift patterns. Week 1: Monday - Thursday 07:00 - 16:00, Friday 07:00 - 13:30. Week 2: Monday - Thursday 10:00 - 19:00, Friday 07:30 - 14:00. Shift patterns are subject to availability and will be decided upon business needs.
Responsibilities
* Source availability of rooms/desks for customers/groups
* Book desks/rooms for customers/groups
* Respond to the Manchester shared email inbox
* Send out confirmation emails for all bookings
* Query Response
* Monitor office consumables
* Maintain updated signage around facilities using templates
* Floor walk, keeping the facility tidy, including filling/emptying of the dishwashers
* Daily morning and afternoon checks of printers, rooms, and desks
* Report maintenance issues
* Troubleshoot technical problems
* Report IT issues to DXC
* Report security issues to Control room
* Fire Marshall and First Aid
* Support Continuous Improvement activities
* Daily handover to Security (end of day process)
* Book contractors in using VR Manchester; check clearance for visitors
* Support site inductions for contractors
* Support admin functions including scanning, uploading and keeping documents updated
* Keep office and kitchen environment clean and tidy; ensure coffee machine daily cleaning
* Escort visitors when requested
* Organise post collection and sign for delivery parcels
* Support Security to undertake audits and resolve conflicts
* Be the first point of contact for calls and correspondence relating to desk and room bookings
* Support hospitality bookings for the building (deliveries and collection)
* Assist with redistribution of food across neighbouring outlets based on occupancy levels
* Top up tea, coffee and provisions; keep area clean
* Wipe down kitchen, counters and breakout area tables
* Support with catering venues; escort contractors when required
* Issue visitor passes and keys; manage visits diary; coordinate guest Wi-Fi
* Manage locker allocation
Qualifications and Experience
* Demonstrated ability to contribute as a team member and provide quality customer service
* Strong organisational and time management skills; ability to manage competing priorities and meet deadlines with accuracy
* Knowledge of Workplace Health and Safety (WH&S) practices and policies
* Proven ability to provide a high level of customer service
* Good interpersonal and communication skills; ability to liaise with customers and staff at all levels in English (written and spoken)
* Skype knowledge desirable but not essential
* Microsoft Word/Excel knowledge desirable but not essential
* Computer proficiency
* Ability to work independently if needed
* At least 2 years of training background or customer service experience desirable
* Knowledge of desk booking systems desirable but not essential
