Job overview

The Sexual Health Service is seeking to appoint Clinic Receptionist/ Clerical Officers to join their teams, working across clinics in Sefton. The Clinic Receptionist/ Clerical Officer is the first point of contact for users of the Sexual Health service and will support day to day operational duties within a fast-paced service.

You will be required to staff the Single Point of Access, providing non-clinical advice, signposting, and arranging appropriate appointments for patients when they contact the service.

Working closely with the Sexual Health Administration Manager you will provide receptionist duties and other administrative support to the sexual health service. You will be able to demonstrate excellent interpersonal and communication skills and will have the ability to forge and maintain good working relationships with colleagues. The ability to effectively communicate with service users is essential.

Main duties of the job

The post holder will provide clerical support to the Sefton Sexual Health Service. The post holder will be required to work in all departments of the Sefton Sexual Health service where necessary including Single Point of Access. This will also include reception duties at various locations, data input, record management, booking service users onto the Sexual Health Patient Administration System and assisting in the day to day running of the reception. The post holder will deal pleasantly with clients, members of the public and staff.

From 1st April 2026 MWL will no longer provide the sexual health contract and it will not be an NHS provider after this date.

Detailed job description and main responsibilities

* Meeting and greeting service users as they arrive in the department
* Issue service users with a registration form and input their details accurately onto the Sexual Health Management System
* Create, update and amend electronic patient records, ensuring demographics are accurate
* Use the Sexual Health Patient Administration System to book and track service users
* Undertake photocopying, scanning, email and memo requests
* Prepare documentation and labels for patient attendance
* Ensure waiting area and workspace is tidy
* Attend to reception administration duties, including filing, database input and secure storage of confidential information
* Attend to mail, redirecting and distributing correspondence as required
* Ensure that at the end of clinic all patient identifiable information is securely stored
* Assist in securing the reception area and building locking up procedures
* Staff the Single Point of Access, providing non-clinical advice and signposting
* Handle personal and telephone enquiries confidentially, politely and helpfully
* Record telephone conversations in electronic records
* Liaise with other clerical and secretarial staff as necessary
* Provide cross cover for colleagues within the Sexual Health services during sickness or annual leave
* Work across the service in Hub and Spoke venues including evenings and weekends
* First point of contact for service users making complaints, handle sensitively and refer as needed
* Assist with induction, training and supporting of new receptions and staff
* Work as part of a multidisciplinary team to meet service user needs
* Issue condoms to service users aged 18 or over
* Keep up to date with sexual health issues, current legislation, service policies and procedures
* Attend internal staff meetings and working groups
* Inform Sexual Health Administration Manager of significant changes (incidents, accidents, complaints, waiting times)

Person Specification

ECDL or equivalent experience of using Microsoft Office Software Packages
Experience of dealing with the public, both face to face and on the telephone
Previous receptionist or administrative experience

Good customer service skills and ability to deal with service users in a professional and positive manner
