The Role
As a Facilities, Health and Safety Assistant within Nova Systems UK offices, you will be part of the Business Operations and Assurance team, reporting directly to the Facilities Health and Safety Manager. You will be responsible for the office and facilities coordination of the Bristol office and assisting the Facilities and Health and Safety Manager with facilities coordination of the offices in Corsham (nr Bath) and Stokenchurch (nr High Wycombe) to ensure they are operating efficiently, in compliance with legislative and regulatory requirements and consistently across our business.
Key Responsibilities
Bristol Office Coordination
• Act as the first point of contact for visitors and guests
• Manage visitor sign-in, ID badges and safety briefings
• Ensure the Bristol office is open and operational during office hours (4 days per week)
• Receive deliveries and manage office supplies and refreshments
• Support office and company events
• Maintain a clean, safe and welcoming office environment
• Identify and report maintenance issues and supervise contractors
Facilities & Health and Safety Support
• Act as Secretary for the Bristol Health & Safety Committee, including taking minutes
• Support local safety inductions for employees and visitors when required
• Assist with facilities management systems, PPM and compliance records
• Carry out weekly fire alarm and compliance checks
• Support duties as Office First Aider and/or Fire Warden (training provided)
Multi-Site Facilities Coordination
• Provide facilities support for Corsham and High Wycombe offices (fortnightly visits)
• Liaise with service providers and attend site visits as required
• Build strong relationships with colleagues across all supported locations
What are we looking for?
Essential Requirements
• Experience in a like-for-like Facilities and/or Office support role
• Excellent written and verbal communication skills
• Strong organisational skills with high attention to detail
• Confident IT skills; Microsoft Office
• UK driving licence with own car as weekly travel is required.
• Eligibility to work in the UK without sponsorship
Desirable Experience
• Health & Safety experience or qualification
• Membership of a relevant Health and Safety professional body
