Administration Officer

Applications are invited from suitably qualified and experienced administration candidates to join our busy administration team. We currently have a full‑time Band 3 Administration Officer vacancy with the Specialist Children and Young Peoples Service (SCYPS) based within the Fraser and Stephenson in‑patient wards at Ferndene Hospital.
Fraser and Stephenson wards are part of the wider CNTW Trust's provision of Children and Young Peoples Inpatient Services. These are commonly referred to as Tier 4 services. They include a broad range of assessment, treatment and ongoing support services to children and young people with a range of mental health problems, learning disabilities, autism and eating disorders.
This role will be part of the wider admin team. As a Band 3 Administration Officer you will provide secretarial support to the ward manager and the wider team. You will also work closely with the Medical Secretaries to ensure all aspects of this role are met.
Main duties of the job
* Demonstrate extensive experience of providing secretarial support to the ward and wider team.
* Have a good understanding of the complex needs of the in‑patients.
* Demonstrate excellent organisational skills and experience of establishing, managing and maintaining admin systems.
* Organise own workload on a daily basis, able to work under pressure, meet deadlines, use your own initiative and be self‑motivated.
* Attention to detail and a high standard of written communication.
* Make arrangements for visits, meetings etc., to ensure the smooth running of the service.
* Confident and competent in administration tasks including experience of minute taking in real time, typing skills and reaching deadlines.
* Ability to use the stock ordering system and maintaining accurate record keeping.
* Experience working with software packages including Microsoft Word, Excel, Outlook, Microsoft Teams and Patient Information Systems (e.g. RiO).
* Demonstrate the Trust's Vision and Values in every aspect of their practice and actively build working relationships with others.
* Demonstrate excellent interpersonal and communication skills, dealing with patients, carers and professionals, in some cases where there are barriers to communication or understanding.
* Willingness to undertake relevant mandatory training.
* Take personal responsibility for making things happen.

Education and Qualification
* Word‑processing skills at Level 3 (OCR/RSA Level 3 or equivalent qualification and/or demonstrable relevant experience) e.g. NVQ Level 3, Level 3 in Business Administration (or equivalent).
* General level of education to O‑Level/ GCSE or equivalent.
* NVQ Level 3 in Customer Care (or equivalent).
Knowledge and Experience
* Knowledge of NHS Policies and Procedures.
* Working knowledge of Microsoft applications, including e‑mail communication.
* Ability to maintain and update Patient Information Systems e.g. RiO.
* Good working knowledge of office procedures.
* Previous secretarial/clerical experience.
* Ability to uphold confidentiality at all times.
* Able to prioritise and plan own workload.
* Experience in processing CPA, Mental Health Act and Safeguarding documentation.
* Experience using stock ordering systems and petty cash systems.
* Experience of working with medical records filing systems.
Skills and Competencies
* Excellent communication and interpersonal skills, both verbal and written.
* Good organisational and planning skills.
Role/Team specific requirements
* Flexible attitude to cope with fluctuating workloads and the occasional requirement to cover other areas in cases of staff absence.
Additional Requirements
* Must be able to meet the mobility requirements of the post, in providing cover for other teams as and when agreed.
