Role:
Quality Systems Coordinator
Location: Chesterfield
Salary: Up To £35,000 Per Annum
Key Responsibilities:
1. Develop, implement, and maintain the Integrated Management System (IMS) in alignment with ISO 9001, ISO 14001, ISO 45001, and ISO 27001 standards.
2. Regularly review and update policies, procedures, and documentation to ensure compliance, relevance, and effectiveness.
3. Ensure the IMS remains integrated across all departments and projects, promoting consistency and continuous improvement.
4. Plan and conduct internal audits to assess compliance with the IMS and applicable standards.
5. Prepare detailed audit reports, identifying findings, root causes, and recommendations.
6. Collaborate with departments to develop and implement corrective and preventive actions (CAPAs).
7. Support preparation for external audits and certification renewals.
8. Assist with tracking compliance against evolving legislation and industry standards.
9. Analyse current processes to identify inefficiencies, non-conformities, and opportunities for optimisation.
10. Lead cross-functional improvement initiatives using root cause analysis, 5 Whys, and other problem-solving tools.
11. Promote a culture of continuous improvement across the organisation through coaching and engagement.
12. Develop and deliver training sessions on IMS awareness, quality standards, and best practices.
13. Support managers in ensuring staff understand their roles and responsibilities within the IMS.
14. Maintain training records and competency matrices.
15. Support the evaluation and monitoring of supplier performance and quality systems.
16. Conduct supplier audits and liaise with supply chain partners to address quality concerns.
17. Ensure supplier quality documentation aligns with IMS requirements.
18. Lead the information security risk assessment and treatment process in accordance with ISO 27001 requirements.
19. Maintain the Information Security Risk Register, ensuring risk treatment plans are implemented and tracked to completion.
20. Advise management on residual risks, control effectiveness, and opportunities for improvement.
21. Ensure appropriate segregation of duties within risk management activities.
22. Collaborate with leadership teams to align risk management, compliance, and policy frameworks.
23. Support internal audits and reviews of information security controls, ensuring risk-based decision-making is consistently applied.
24. Ensure HSQE and ISMS documentation is accurately maintained, controlled, and aligned with IMS processes.
25. Prepare regular reports on audit findings, risk trends, and compliance performance.
26. Provide data and evidence for management reviews, certification audits, and performance meetings.
27. Support the creation of assurance dashboards and KPIs for reporting to senior management.
The Successful Candidate:
Essential:
28. Minimum 3 years’ experience in a quality assurance or systems coordination role, preferably within the rail, construction, infrastructure, or engineering sectors.
29. Strong knowledge of ISO 9001:2015 Quality Management Systems and familiarity with ISO 14001, ISO 45001, and ISO 27001 frameworks.
30. Proven experience conducting internal audits and supporting external audits.
31. Understanding of process improvement methodologies and root cause analysis tools.
32. Strong analytical, organisational, and communication skills.
33. Proficiency in Microsoft Office Suite and experience with document control or quality management software.
34. Ability to work effectively both independently and collaboratively across departments.
Desirable:
35. ISO 9001:2015 Auditor or Lead Auditor Certification (or willingness to obtain).
36. Additional auditor qualifications in ISO 14001, ISO 45001, or ISO 27001 highly advantageous.
37. Knowledge of rail industry assurance frameworks or regulated environments.
38. Experience supporting Information Security Management Systems (ISMS) or data protection programmes.
39. Awareness of business continuity planning and risk-based thinking approaches.
40. Strong report writing, data analysis, and presentation skills.
41. Membership of a relevant professional body such as CQI, IQA, or IEMA.
