We have an exciting opportunity for a Property Projects and Executive Support Officer in a Canada-based real estate firm. It is a global property investment and development group dedicated to creating inspiring educational spaces that spark innovation and creativity. The successful candidate will coordinate property projects, maintenance, and compliance while delivering high-level support to senior leadership. This varied role combines project oversight with executive coordination to ensure safe environments and informed decision-making.
Job Requirements:
A degree in a relevant field
Demonstrated experience in coordinating property, facilities, or project-related activities
Proven background in senior administrative or executive assistant roles
Strong organisational abilities with excellent written and verbal communication skills
High level of accuracy and attention to detail
Proficient in Microsoft 365 applications
Solid understanding of property compliance, or the ability to learn quickly with evidence of adaptability
Job Responsibilities:
Serve as the primary contact for tenant queries, maintenance issues, and property-related enquiries
Coordinate maintenance workflows, inspections, contractor management, and compliance documentation
Support financial processes including PO management, invoice reconciliation, and budget tracking
Maintain accurate property records, systems, and documentation including inventories, manuals, and asset registers
Assist with onboarding new properties, supplier setup, and internal communications
Liaise with stakeholders across landlords, tenants, university departments, and external partners
Contribute to process improvements, project planning, and service delivery standards
Manage administrative tasks including diary coordination, meeting logistics, board pack preparation, and document control
