We are seeking a dedicated and compassionate Receptionist / Admin Assistant to join our Oncology Team at Torbay Hospital. In this crucial role, you will be the first point of contact for patients, families, and visitors, playing a vital role in creating a positive and supportive environment for individuals seeking oncology care. You will also provide essential administrative support to the Oncology Team, ensuring the smooth functioning of daily operations.
Main duties of the job
* Work as part of the reception and prep team, collaborating and showing respect.
* Receive patients on arrival and record attendance, handling sensitive situations with tact and empathy.
* Register patients on the computer system in accordance with Trust policy.
* Ensure all necessary case notes are prepared and traced accurately.
* Trace patient notes immediately and accurately.
* Listen to and handle answerphone messages promptly throughout the day.
* Answer telephone enquiries efficiently and follow up using initiative to deal with routine enquiries.
* Deal with patients and parents/carers who may have significant medical problems.
* Wear the Patient Administration Uniform as required by Trust policy.
* Maintain confidentiality in accordance with Trust policy.
* Keep up to date with hospital policies and procedures via the Trust intranet.
* Knowledge of the Trust's and Departmental Health & Safety Policy and Risk Register.
* Perform other clerical duties as necessary.

Qualifications and Training
* Good standard of general education, including GCSE in Maths and English or equivalent.
Knowledge and Skills
* Experience in a face‑to‑face customer service role.
* Experience in administrative duties.
* Ability to work on own initiative and prioritise workload.
* Teamworking ability.
* Experience with emails, spreadsheets and Microsoft Office.
* Good interpersonal skills.
* Effective communication skills.
* Knowledge of Trust and patient administration and information systems.
* Experience working in a health care setting.
