Role Purpose
* Provide full administrative support to the on-site team, ensuring the smooth running of office systems, coordinating the helpdesk system, and assisting the Senior Administrator financially.
* Administer to account, contract managers & site teams, liaising with Engineers daily, investigating problems, and reporting to the Contract Delivery Manager and client.
* Maintain updated systems including finance documentation, maintenance sheets, and correspondence.
* Handle various ad-hoc projects and ownership responsibilities.
Duties And Responsibilities
Helpdesk Duties:
* Monitor Corrigo system to ensure jobs meet SLAs/KPIs, escalating issues as needed.
* Produce weekly reports on upcoming work and communicate with clients.
* Resolve ongoing problems with users, explaining delays.
* Inform site management of contract issues in monthly meetings.
* Book contractors in advance per PPM schedule.
Administrative Duties:
* Raise quotes for extra work, obtain purchase orders.
* Create job numbers and purchase orders in Vixen system, ensuring accuracy.
* Maintain organized records of PO’s, delivery notes, quotes, and service sheets.
* Complete records/forms for QA compliance, including timesheets and absence forms.
* Assist with weekly timesheet input, and maintain training logs.
* Order supplies and uniforms as needed.
Financial Duties:
* Assist with budget control, profit/loss reporting.
* Manage purchase order reports, chase outstanding invoices.
* Handle debt and credit control.
* Invoice clients regularly for reactive, quoted, and PPM works.
* Manage overhead costs and compile monthly applications, resolving client queries.
* Ensure cost accuracy for quoted works, liaising with subcontractors and suppliers.
Skills
* Effective communication with clients and engineers.
* Remain calm during incidents, relay accurate information.
* Good telephone manner and clear email communication.
Knowledge
* Proficient in Microsoft Office (PowerPoint, Word, Excel, Outlook).
* Experience with facilities management systems.
