Purpose of the role
As the Logistics Coordinator for Phoebe Philo, you will be the system owner for our warehouse and logistics operations. You'll drive continuous improvement by identifying and documenting system process changes, and you'll maintain the accuracy of our digital and physical inventory. This means daily checks to resolve discrepancies between our ERP and WMS, with a focus on root cause analysis and implementing long-term system solutions to prevent recurrence. You will be a primary point of contact for all logistics and inventory system-related matters for both internal and external stakeholders.
Responsibilities
3PL Operations
* 3PL Collaboration: Establish and maintain strong relationships with our 3PL.
* Ensuring our shipments and returns activity remains aligned daily between our 3PL WMS and our Phoebe Philo ERP.
* Daily monitoring between 3PL WMS and ERP systems.
* Liaise daily with our 3PL warehouse to ensure system changes and investigations are actioned in a timely manner.
* Evaluate and improve internal processes and system functionality on a regular basis.
Inventory Coordination
* Stock Reconciliation: Conduct daily stock reconciliations to identify and rectify system discrepancies. Implement corrective actions to enhance accuracy in stock records and minimize losses.
* Product availability: Maintain diligent oversight of inbound and returned stock files, ensuring high availability.
* Training: Provide system guidance and training to different stakeholders on the system processes utilised by the Logistics team here at Phoebe Philo, including the correct procedure for interfacing files between the 3PL WMS, ERP systems and parcel carrier platforms.
* Investigate system-related discrepancies and failures within our logistics systemic processes to determine their root cause, moving beyond symptoms to find a permanent solution, while working alongside our internal IT team.
Logistics Systems Optimisation
* Technology Integration: coordinate the implementation and testing of logistics systems to enhance efficiency.
* Support wider business systems changes as a Logistics Subject Matter Expert.
* Daily reporting to key internal stakeholders for system and inventory alignment to maximise sales potentials.
* Document our Logistics system processes in up-to-date and clear standard operating procedures and workflow maps.
* Support the wider Logistics team with system issues that they are having as a first point of contact and coordinate remedial activity of systems with our inhouse IT department.
* Coordinating projects relating to system changes on behalf of the Logistics department, working closely with internal departments and external technology suppliers.
* Become the subject matter expert on all outbound systems, including WMS and carrier portals, to effectively train others, troubleshoot issues, and identify opportunities for automation.

Qualifications, Skills, Experience Required
* 2+ years of logistics experience.
* Experience within the luxury fashion industry is ideal.
* Experience in coordinating 3PL stock operations.
* Experience working with Warehouse Management Systems (WMS) and Enterprise Resource Planning software (ERP), especially to coordinate inventory alignment.
* Ideal to have experience with Brightpearl.
* Intermediate knowledge of Microsoft Excel and experience with Microsoft Office.
* Experience participating with projects and coordinating continuous improvement activity.
* Strong written and verbal communication skills with the ability to work across internal and external stakeholders.
* Strong organisational skills.
* Excellence in working under pressure and delivering on multiple priorities.
* Strong initiative, taking ownership of tasks and follow-through.
* A positive, problem solving, and ‘can-do’ attitude.
* Flexibility to travel to our European warehouse.
* Italian language is a plus.
