We're looking for an organised, proactive individual who is passionate about delivering an exceptional experience for learners and employers. As an Enrolment Coordination Officer, you'll play a vital role in ensuring every learner begins their journey with confidence, clarity, and a smooth transition into their apprenticeship.
This role is central to the efficiency of our enrolment function. You'll act as a responsive, solution-focused point of contact-resolving issues in real time, managing reschedules, and keeping operations flowing seamlessly. By taking ownership of the pre-enrolment process, you'll help reduce bottlenecks and ensure our team can focus on engaging and enrolling new learners.
Location: Remote
Hours: Monday to Friday (36.5 hours a week)
Salary: Up to £27,000.00 dependent on experience
In this role, you'll be the person learners and employers rely on when plans change. You'll manage rescheduling with care and professionalism, ensuring new appointments are arranged quickly and communicated clearly. A key part of the role involves keeping our internal systems accurate and up to date-overseeing the administrative steps needed to move learners between sessions and maintaining detailed, audit-ready records of all activity.
Alongside the operational duties, you'll also look for patterns or recurring issues that impact the process, offering insights and suggestions that help us continuously improve. Throughout your work, you'll uphold the highest standards of data integrity, confidentiality, and compliance with GDPR and safeguarding expectations.
Key duties will include
* Take ownership of rescheduling learner enrolments when learners and/or their mentors are unable to attend, ensuring minimal disruption to the pipeline.
* Liaise directly with learners and employers to arrange alternative enrolment appointments and confirm bookings.
* Complete and oversee all administrative processes required to move learners between enrolment sessions, maintaining accuracy in internal systems.
* Monitor enrolment schedules to manage learners requiring rescheduling and ensure timely progression.
* Respond to and resolve issues escalated in real-time as enrolments are due to take place
* Manage cancellations, postponed enrolments, and allocate spaces efficiently to optimise session utilisation.
* Complete enrolment administration for learners booked by colleagues outside of the enrolment team, ensuring records are accurate and compliant.
* Maintain comprehensive records of all enrolment activity, ensuring auditability and operational transparency.
* Work closely with the enrolment team to ensure a seamless handover of cases and smooth operational workflow.
* Analyse patterns and recurring causes of rescheduling, providing insight and recommendations to improve processes and reduce operational friction.
* Act as the primary point of escalation for real-time enrolment issues, ensuring swift resolution and maintaining a high-quality learner experience.
Ideally you're bring the following experience:
* GCSE (or equivalent) in English and Maths, and ideally a Level 2 I.A.G qualification (or willingness to achieve it).
* Experience communicating confidently with internal and external stakeholders, both in person and remotely.
* A background in fast-paced environments such as customer service, telesales, marketing, or recruitment.
* Strong organisational skills with the ability to prioritise and manage your own workload.
* High attention to detail, particularly when handling learner data and documentation.
* A proactive, solutions-focused approach with the ability to stay calm under pressure.
* Excellent IT literacy, including MS Office, Google tools, PDFs, and general digital administration.
* A professional, confidential approach aligned with GDPR and safeguarding expectations.
