Our respected client, a key partner of the UK Ministry of Defence, is seeking a Level 3 Purchasing/Procurement Officer. This role serves as the primary liaison with the CSS Spares and Repairs Team, overseeing the coordination and management of customer repair and spares procurement requests from internal project teams.
Key responsibilities include supplier evaluation, maintaining open order books, ensuring timely communication to support on-time deliveries, resolving delays, and monitoring supplier performance for continuous improvement.
Key Responsibilities:
Purchasing
Process both electronic and manual requisitions in line with procurement procedures.
Utilise SAP to generate and manage Requests for Quotation (RFQs).
Develop and analyse Excel spreadsheets to support supplier evaluation and selection.
Raise and manage purchase orders within SAP, ensuring accuracy and compliance.
Monitor and expedite orders to ensure timely delivery to internal stakeholders.
Amend purchase orders as needed to reflect updated delivery schedules post-acknowledgement.
Maintain proactive communication with internal stakeholders to ensure delivery expectations are aligned.
Participate in and support operational business reviews to drive continuous improvement.
Administration
Collaborated with Accounts Payable and external vendors to resolve invoice discrepancies, ensuring timely and accurate payments.
Performed data cleansing within SAP to maintain integrity and accuracy of procurement records.
Conducted supplier performance evaluations, including quality assessments and delivery metrics.
Distributed monthly performance reports to vendors, ensuring appropriate reason codes were applied to support accurate reporting and continuous improvement.
What do you need?:
Demonstrates a proactive, adaptable, and self-motivated approach to work.
Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook); working knowledge of SAP is advantageous.
Holds foundational academic qualifications (GCSE/NVQ or equivalent) in Maths and English.
Strong interpersonal and communication skills, with the ability to build and maintain effective relationships with internal stakeholders and external suppliers.
Capable of working under pressure and meeting deadlines while maintaining a high standard of professionalism.
