This role is crucial in ensuring smooth day-to-day operations, maintaining compliance documentation, coordinating service schedules, and providing exceptional support to both field technicians and clients. Key Responsibilities * Coordinate service appointments, inspections, and maintenance schedules for fire alarm and suppression systems * Maintain accurate records of certifications, service reports, and compliance documentation * Prepare quotes, invoices, and purchase orders using internal systems * Liaise with clients, suppliers, and technicians to ensure timely communication and service delivery * Monitor inventory levels and assist in ordering fire safety equipment and parts * Support health & safety documentation and ensure regulatory compliance is met * Assist in tender submissions and project documentation for new installations * Provide general administrative support including filing, data entry, and answering calls ✅ Requirements * Proven experience in administrative roles, preferably in construction, engineering, or fire safety sectors * Strong organizational and multitasking skills * Proficiency in Microsoft Office Suite (Word, Excel, Outlook) * Familiarity with compliance standards such as BS 5839 and BS 5306 is a plus * Excellent communication and interpersonal skills * Ability to work independently and as part of a team Desirable Attributes * Knowledge of fire alarm systems, suppression systems, or emergency lighting * Experience with scheduling software or CRM systems * A proactive mindset with a commitment to safety and service excellence
