We have an excellent opportunity for a highly organised and proactive individual to join our External Relations team as a full-time PA to the Director of External Relations.

Key Responsibilities
* Act as the first point of contact for the Director of External Relations, dealing with straight forward enquiries (whether email, telephone call or written correspondence) and referring more complex enquiries to the Director of ER.
* Manage the Director of ER’s diary, appointments, and correspondence in an accurate, timely and highly confidential manner.
* Maintain an awareness of upcoming important meetings, tasks and deadlines, planning well in advance and highlighting upcoming matters to the Director of ER.
* Organise and book travel for the Director of External Relations and the wider department ensuring the relevant Visas are obtained and a programme of travel is produced.
* Assist the Director of ER with research or projects as required.
* Produce agendas and take minutes of meetings as required by the Director of ER.
* Prepare presentations, reports, and data summaries for Senior Leadership and Governors.
* Collate, print and send papers, correspondence and collateral for the department (for internal and/or external issue).
* Coordinate all online events, including Meet and Greet and Transition activities, for the External Relations Department, including the arrangement of meetings and liaison with participants regarding timetables and appointments.
* Organise and manage events, including those off-site, including invitations and correspondence on behalf of the Director of External Relations.
* Update and track budget expenditure for the External Relations Department throughout the financial year, including maintaining the budget spreadsheet, monitoring spend against allocations, inputting invoices and spend allocations, reconciling account information, collating all credit card transactions, and providing accurate financial information to the Accounts office.
* Assist with the management of staff travel sheets, risk assessments and trip reports.
* Manage the completion of internal bookings and ensuring they are promptly forwarded to the Domestic Operations office.
* Maintain digital records of all correspondence sent to stakeholders from the External Relations Office.
* Ensure the External Relations digital filing system is up to date and all shared documents are correctly filed.
* Support school-wide initiatives including Open Days, alumni and stakeholder events, press and media engagements, and community outreach.
* Maintain awareness of key School activities, term dates, and calendar events to support effective planning and coordination.
* Collaborate with Admissions, Marketing, Alumni, and Communications teams to ensure smooth project delivery and information flow.
