A recognised industry leading marine operations business supporting the energy and offshore civils sectors worldwide has a rare and exciting opportunity for a highly skilled and experienced Executive Assistant to support their newly appointed Managing Director and the executive team. This brand new and business‑critical role was created following the acquisition of the company from its founding owners and represents a genuinely unique opportunity to play a pivotal part in the next chapter of growth for an internationally respected marine business.
The company will be relocating to Bangor, North Wales from its current base in Holyhead. As the new Executive Assistant you will report directly to the Managing Director, acting as a trusted partner and right hand – helping the new MD establish his operational rhythm, build key relationships and drive the business forward. This role demands someone polished, proactive and experienced in operating at the very highest level, with the composure and confidence to thrive in a fast‑moving, globally focused and technically complex environment.
Responsibilities
* Manage the Managing Director's complex global diary, coordinating meetings, calls, site visits and travel across multiple time zones while ensuring he is fully briefed for every engagement.
* Arrange detailed domestic and international travel itineraries, including flights, accommodation, transfers, visas and comprehensive travel packs.
* Act as the primary point of contact for the MD, managing communications with clients, stakeholders, industry bodies and internal teams, while supporting the transition of key long‑standing relationships.
* Screen and prioritise the MD's inbox and correspondence, drafting responses where appropriate and ensuring urgent matters are handled efficiently.
* Organise and support board‑level, client and operational meetings, including agenda preparation, minute taking and follow‑up on actions and decisions.
* Prepare presentations, reports, proposals and board papers, while managing expenses, maintaining confidential business records and supporting strategic projects as required.
Qualifications
* Proven experience supporting a Managing Director or senior executive team within a fast‑paced, high‑pressure environment.
* Exceptional organisational skills, with the ability to manage complex international diaries, competing priorities and detailed global travel arrangements.
* Confident communicator at board and client level, with strong written communication skills and the ability to handle sensitive matters professionally.
* Highly proficient in Microsoft Office 365 and comfortable using new digital systems and tools to support efficient executive operations.
* Able to work proactively and independently, anticipating needs, managing pressure calmly and handling confidential commercial information with complete discretion.
* Previous experience within marine, offshore energy, oil & gas, offshore civils or another technical/industrial sector, alongside exposure to business transitions, board‑level governance or HR administration, would be highly desirable.
