Waiting List Administrator
Hours: 37.5 per week

Salary: from £24,078 per annum, pro rata
An exciting opportunity has arisen for a Waiting List Administrator to join our Outpatient Services division here at St Andrew's Healthcare on a 6‑Month fixed‑term contract.
St Andrew's Healthcare is a charity providing specialist mental healthcare services. We work in partnership with a number of NHS, voluntary, educational and research organisations to deliver a range of specialist inpatient and community mental healthcare services, education and research that helps to improve the lives of people with complex mental health needs.
The Role and Person
The purpose of this role is to regularly contact individuals on the waiting list for our BSOL services, triage their level of need, and act as the liaison between BSOL services and probation. This work focuses on engaging people who cannot safely continue waiting for the intervention and providing them with targeted support to prevent further mental health decline.
Responsibilities
* Assist in maintaining up‑to‑date waiting lists, adding and removing service users in line with contractual/service delivery requirements and key performance indicators.
* Conduct check‑in calls with service users on the wait list, undertake triage and risk assessment.
* Provide psycho‑education information and, where appropriate, raise risk concerns.
* Accurately maintain the waiting list in Excel, ensuring all records are current.
* Meet remotely, directly and frequently with the BSOL team to ensure clinician capacity is maximised efficiently.
* Liaise and engage with probation services.
* Monitor service users who did not attend appointments, liaising with the relevant clinician to remove them from the waiting list or rebook as necessary.
* Liaise with clinical staff and non‑clerical staff regarding capacity.
* Handle enquiries from service users on the waiting list, relatives and staff received by telephone, post and e‑mail in accordance with the Charity's Confidentiality Policy, relaying messages to the appropriate personnel.
* Be aware of waiting‑list waiting times and book service users chronologically, ensuring they are booked within the timeframe of their sentencing end date where possible.
* Highlight potential issues in booking appointments within performance targets to the clinical lead.
* Liaise with all departments necessary to ensure patients are contacted in a timely manner.
* Maintain service‑user identifiable details on the RIO System, ensuring accuracy.
* Liaise with the BSOL Administrator for recording and sending letters for all appointments in a responsive and appropriate manner.
* Ensure availability of space and coordination of facilitator scheduling for group therapy where appropriate.
