This role combines traditional Executive Assistant duties with broader business services support, ensuring smooth day-to-day operations across the office. Our Values Empathetic & Respectful Accountable & Responsible Curious & Open-minded Adaptable & Proactive Purpose-driven & Team-oriented The Role As Executive Assistant and Business Services Coordinator, you will be a key member of the Business Services Team, responsible for delivering high-quality administrative, executive, and operational support to ensure the smooth and efficient running of day-to-day activities across the business. Key Responsibilities Executive Support Manage diaries, schedule meetings, and coordinate appointments Monitor and manage email inboxes, flagging and responding to key communications. Prepare meeting agendas, take minutes, and follow up on action items. Support with confidential correspondence and documentation. Assist with presentation preparation and reporting. Senior Leadership Team Support Provide ad hoc administrative support to SLT members as required. Coordinate internal meetings and assist with logistics and documentation. Finance & Operations Process and track expenses, receipts, and invoices. Liaise with the business services team to ensure timely submissions and reconciliations. Support with basic financial admin and reporting. Travel & Office Management Book business travel and accommodation Set up and maintain meeting rooms for internal and external use. Monitor and replenish office supplies. Ensure the office environment is tidy, welcoming, and well-organised. General Administration Assist with occasional event coordination or team activities. Take on evolving administrative support tasks as the company grows and changes. Essential knowledge & experience: Proven experience in an administrative, Executive Assistant, Office Coordinator, or Business Support role within a busy organisation Strong diary management and inbox coordination experience, ideally supporting senior leaders Experience preparing meeting agendas, minutes, and follow-up actions Demonstrated ability to handle confidential information with discretion and professionalism Proficiency in Microsoft 365, including Outlook, Teams, Word, Excel and PowerPoint Excellent written and verbal communication skills Experience organising meetings, events, workshops, or team activities Experience coordinating travel and accommodation logistics Understanding of office health & safety, supplier management, or facilities coordination Experience processing expenses, invoices, or basic financial administration Key Attributes: Ability to build positive working relationships across teams and interact confidently with stakeholders at all levels Comfort working in a fast-paced, growing environment, where priorities may shift Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines Ability to work confidently under instruction while also using own initiative to keep things moving Alignment with our company values, strong work ethic, and a collaborative, can-do attitude.
