Job Overview
The role provider will have responsibility for the organisation of anticoagulation clinics and the day‑to‑day smooth running of the service, receiving referrals and dealing with complex anticoagulation queries. As the initial face‑to‑face contact point for service users and stakeholders, you represent the Anticoagulation Team.
Under the leadership of the Thrombosis and Anticoagulation Administration Manager, you will use your judgement to determine when advice from senior colleagues is required.
In line with department protocols, you will raise concerns, escalations and work autonomously or in conjunction with the administrative team, clinical nurse specialists, consultants and stakeholders.
Main Duties
* Act as a point of contact for patients, carers, and telephone callers.
* Attend and run outpatient point‑of‑care clinics.
* Provide and receive complex and sensitive information such as personal medical data.
* Handle enquiries from users, patients and staff politely and helpfully.
* Liaise between laboratory staff and service users, and manage telephone enquiries.
* Work with Medical Laboratory Assistants, Biomedical Scientists within Haematology and Pathology.
* Contribute to the Trust vision "We Care" and departmental delivery plans, demonstrating respect, dignity and privacy for all.
* Attend regular staff meetings including multidisciplinary meetings.
* Provide fast anticoagulation referral reviews, adding referrals to the DAWN database and CAREFLOW; book clinic appointments.
* Identify and solve ongoing service issues; report to the Administration Manager and/or Clinical Nurse Specialist.
* Maintain updated system reviews, patient management and best practice.
* Ensure all clinical responsibilities comply with Trust policies and infection control guidelines.
* Contribute to a safe and therapeutic environment for staff, patients, relatives and visitors.
* Answer patient telephone line, manage the answer‑phone system, rebook appointments and pass along advice when required.
* Book appointments using CAREFLOW.
* Use the 4S DAWN Anticoagulation Dosing System to enter patient data accurately and timely.
* Upload relevant documentation into DAWN and progress toward a paperless environment.
* Perform quality control testing (NEQAS) for CoaguChek equipment as required.
* Exhibit a high level of professional behaviour and customer‑care skills at all times.
* Adapt practice in line with changes and developments of the service.
* Work autonomously where required, problem‑solve and manage mixed workloads.
* Communicate effectively, verbally and written, with courtesy, respect and confidentiality.

Visa and Immigration
This role does not meet the minimum criteria for visa sponsorship under the current UK immigration rules, which set specific salary and skill thresholds. Therefore we cannot provide sponsorship for this post. Applicants must already have the right to work in the UK. If applying under a Graduate visa, a minimum of 18 months must remain on the visa.
Person Specification
Essential and Desirable
* GCSE English grade 4 or equivalent
* IT experience in Access, Excel and Microsoft products
* Experience working within a healthcare setting
* Experience in administration and data analysis
* Evidence of personal development to improve understanding of equalities issues
* Excellent communication skills, verbally and written, in English
* Excellent interpersonal and engagement skills
* Ability to organise own work, good time‑keeping, methodical, able to work as part of a team
* Friendly and caring attitude
* Knowledge of medical terminology
* Computer literate in all hospital IT systems, including CAREFLOW, Bamboo, i‑proc, winPath, MS Teams
* NVQ3 or equivalent experience
* Ability to take, record and distribute meeting minutes
