What You Will Be Doing:
• Managing a busy Outlook inbox: raising new jobs, recording updates, and responding to client and subcontractor enquiries
• Inputting and updating job information on the client portal
• Raising and processing purchase orders and associated invoices
• Providing clear and consistent updates to clients and subcontractors across the UK and Europe
• Coordinating all aspects of job logistics: dates, times, access, H&S information, permits, RAMs, and materials
• Scheduling engineers' work and maintaining trackers/portals with real-time accuracy
• Creating monthly data reports and supporting budget tracking for facilities services
• Booking with centre management and raising permits to work
• Providing cover for Service Manager and Admin staff during absences
• Carrying out general office administration duties
Qualifications & Experience:
• Proficiency in Microsoft Office (required)
• Previous experience in a facilities management environment (essential)
• Familiarity with Job Logic software (desirable)
• Ability to work under pressure in a fast-paced setting
• Strong administrative experience in facilities management
• Exceptional multitasking and time management skills
• Clear and professional communication across all levels
• Flexible to support out-of-hours emergency callouts (shared rota with Service Manager – mobile provided)
